7 Abut This Manual 1 Overview Intrductin The Capsa Slutins AC Medicatin Cart features state-f-the-art engineering that cmbines a flexible design with easy-t-use access and security features. The Capsa Slutins AC Medicatin Cart is equipped with standard and ptinal features. Standard features include: AutLck Timer: The AutLck timer mnitrs cart activity and is prgrammed t autmatically secure the cart whenever the cart remains mtinless fr a precnfigured relck time interval f 1 t 99 minutes. Easy-t-Edit Settings and Cntrls: The cart s display screen near the keypad shws messages, date and time settings, and easy-t-fllw user instructins. Event Recall Functinality: Authrized users can track cart activity, including user access and relcking prcedures. Flexible Access Methds: Depending n security needs, users access the cart using an access cde, an access card, an access cde and an access card, r a key. Multiple User Access Rles: Users are assigned access based n jb functin. Users with Admin access can prgram and use the cart; users with Nrmal r Key User access can use the cart, but cannt prgram it. Override Cde Functinality: The Override Cde is assigned t the cart and prvides authrized users with a special means f access that bypasses alarms, timers, and relcking mechanisms. This functin is typically used while the cart is being restcked in the pharmacy. Rechargeable Battery: The rechargeable, valve-regulated lead acid battery typically supplies the cart with cntinuus pwer fr apprximately five days r 1,000 lck/relck cycles. Standard Hst Sftware: The Standard Hst sftware package that enables authrized users t easily prgram the cart and t retrieve event, user prfile, and cart settings. enarc : Electrnic Keyless Narctic Strage (enarc) prvides cde-based access t secured narctic drawers. Night Light: The night light illuminates the cart s wrk area t increase visibility. The amunt f time that the light stays n after the cart is secure is adjustable. Keypad Functin/ESC This buttn is recmmended fr administratr use nly. This buttn als enables a user with verride rights t enter Override mde. ESC When an administratr is in Prgramming mde, he r she can use ESC t exit ut f lists and subgrups. Battery This buttn enables users t test the amunt f charge left in the cart s battery. Light This buttn turns the ptinal night light n r ff. Secure This buttn secures the cart. (enarc) Initiates access t the ptinal Electrnic Keyless Narctic Strage (enarc) drawer(s). Clear This buttn wrks like a backspace key n a cmputer keybard. This buttn als resets the AutLck timer. 10 Overview Numbered Keypad The numbered keypad enables the entry f access cdes and t accept r change cart settings. Numbers als enable scrlling when wrking in Recall Events mde: Cnnectr Panel Parts and Functins Use 5 and 8 n the keypad t scrll frward r backward, respectively, thrugh the events in the subgrup ne event at a time. Use 2 and 0 n the keypad t scrll frward r backward thrugh five events at a time. This sectin describes the parts and functins f the cnnectr panel (AC Systems Supprt Panel) lcated at the rear f the cart. Cart Access Reset Buttn Enables the restarting f the cart by resetting it, in the event that the cart is nt functining prperly. Cmmunicatin Prt Enables the use f a null mdem cable t cnnect a persnal cmputer t the cart fr use with ptinal hst sftware. Cart User Types and Respnsibilities Capsa Slutins AC Medicatin Cart users are assigned access privileges based n jb functin. User types include: Admin: This user can perfrm all prgramming r event recall functins. This user can access all areas f the cart and is respnsible fr adding new cart users, mdifying cart user prfiles, and recalling events. Nrmal: This user (typically a nurse) can access sme r all areas f the cart based n privileges the administratr assigns. In additin, the administratr may authrize this user t change his r her wn access cdes. This user is respnsible fr dispensing medicatin and then securing the cart. 11 Overview Override Rights Terms and Definitins Administratrs can assign verride rights t each user type. Override rights grant users the use f a special Override Cde that is assigned t the cart. The Override Cde bypasses the cart s alarms, timers, and relcking mechanisms and is typically used while the cart is being restcked in the pharmacy. Access Card An ptinal card-swipe feature that can be used as an additinal security requirement r as the primary cart access methd. Access Cde A fur-digit persnal identificatin number (PIN) that prvides cart access. This cde can be General (ne access cde per cart) r Specific (ne access cde per authrized user r grup f users). Standard Hst Sftware An ptinal sftware package that enables authrized users t prgram the cart and t retrieve events, user prfiles, and cart settings frm the cart. Cart Settings File A file that is used with the Standard Hst sftware. This file cntains infrmatin abut cart settings. LCD Liquid Crystal Display. The display screen near the keypad that shws messages, date and time settings, and user instructins. Lg File A file that is used with the Standard Hst sftware. This file cntains infrmatin abut events that ccurred n the cart. This file can be saved but nt mdified. Master Cde A fur-digit numeric cde that enables an authrized administratr t prgram the cart r recall events. Narctic Cde A fur-digit numeric cde that must be entered befre an authrized user can pen any f the lcked enarc narctics drawers. Available settings are General (ne enarc cde per cart) r Specific (ne enarc cde per authrized user r grup f users) and the fllwing usage rules apply: If the access cde is set t General, the Narctics Cde must be set t General unless the cart is cnfigured with the access card accessry. If the access cde is set t Specific, the Narctics Cde can be set t either General r Specific. Override Cde A fur-digit cde assigned t the cart that bypasses alarms, timers, and relcking mechanisms. Typically, this functin is used while the cart is being restcked in the pharmacy. Prgramming Mde This mde enables an administratr t edit user access, edit cart settings, r recall events. Read Cart The Read Cart buttn displays in the Standard Hst sftware user interface n the user file, cart settings file, r lg file. 12 Overview Nte: Recall Events A cart feature that enables an administratr t track cart activity, including user access and relcking activity. User # A unique, fur-digit number that identifies the persn using the cart. Unlike an access cde, a User # cannt be mdified after it is accepted. User File A file that is used with the Standard Hst sftware. This file cntains user prfile infrmatin and can be mdified. Write Cart The Write Cart buttn displays in the Standard Hst sftware user interface n the user file and the cart settings file. This buttn enables an administratr t apply settings changes that were made while using the Standard Hst sftware t the cart. User access and cart settings are defined later in this dcument. If Standard Hst sftware is used t set up user access and cart settings, see: Cart Settings Defined, page 24. If the cart is used t set up user access and cart settings, see: Pre-Cnfigured Settings User Access Settings Defined, page 34. Cart Settings Defined, page 24. The Capsa Slutins AC Medicatin Cart is designed t accmmdate the varius needs and respnsibilities f the peple wh use it. When the cart was initially purchased, it was prgrammed it t include settings and user access prfiles accrding t the rganizatin s specific requests. 13 Overview 2 Using the Cart Intrductin The prcedures in this chapter explain the tasks assciated with everyday use f the AC Medicatin Cart. At start-up, depending n the cart cnfiguratin, the cart will be accessed in ne r mre f the fllwing ways: Access Cde Only Enter a pre-set user access cde. Fr prcedural infrmatin, refer t the Accessing with Access Cde Only sectin n page 7. Access Card Only Swipe the card. Fr prcedural infrmatin, refer t the Accessing with Access Card Only sectin n page 8. Access Cde and Access Card Enter a pre-set user access cde and swipe the card. If a mistake is made while entering a cde, press Clear t delete the incrrect digit, and enter the crrect number. System Respnse: As the cde is typed, the LCD displays asterisks fr each number. Als, if the KEY BEEP cart setting is set t ON, a beep will be heard after each number pressed. Nte: The cart administratr sets the KEY BEEP cart setting. Prblems Accessing the Cart Fr security purpses, the Capsa Slutins AC Medicatin Cart limits the time perid in which the crrect access cde and valid access card may be used. When the time interval is exceeded, the cart: Reverts t idle mde Secures the cart The fllwing prcedure describes the prcess that starts when a user enters in invalid access cde r access card. 1. The first time an incrrect cde is entered r invalid card swiped, the cart alarm beeps nce. INCORRECT CODE PLEASE RE-ENTER CODE r INVALID CARD PLEASE RE-SWIPE CARD 2. After five secnds, if n cde is entered r card swiped, the LCD display clears as the system reverts t idle mde. A secnd attempt can be made. At the furth attempt, if a cde is entered r card swiped within the ne-minute beeping perid and: The cde was crrect r swiped card was valid, the alarm stps, with Step 1 in the apprpriate prcedure fr the cart cnfiguratin: Accessing with Access Cde Only, page 7. Accessing with Access Card Only, page 8. Accessing with Cde and Access Card, page 9. The cde was incrrect cde r the swiped card was invalid, the LCD re-displays the message in Stage 5 and resets the ne-minute alarm. The alarm cntinues beeping until ne minute transpires after the last incrrect attempt. After ne minute the cart reverts t idle mde. Testing and Charging the Battery Intrductin Testing the battery Testing the Caps Slutins AC Medicatin Cart s battery is an easy way t ensure that the cart has enugh pwer t perate. D nt use the Capsa Slutins AC Medicatin Cart when the battery s charge is lw. Typically, the battery supplies pwer t the keypad and relcking mechanism fr apprximately five days r 1,000 lck/relck cycles (based n the standard Capsa Slutins AC Pwer System). Hwever, if the battery is lw, the cart s Intelligent Pwer Management System may discntinue pwer t nncritical cmpnents, such as the night light, t save pwer fr critical cmpnents, such as enarc drawer peratin. Pwer t nncritical cmpnents is restred after the battery begins t recharge. When the battery s charge is depleted, the LCD displays a BATTERY NEEDS RECHARGED SOON warning. T test the battery, press BATTERY. Nte: If the BATTERY buttn is pressed while the battery is charging, the LCD displays a BATTERY STATUS UNAVAILABLE message. System Respnse: The LCD displays ne f the fllwing messages: BATTERY CHARGE IS xx%: Indicates that the battery s charge is sufficient t perate the cart. 19 Using the Cart Charging the Battery If the LCD displays a BATTERY NEEDS RECHARGED SOON message, recharge the battery immediately. T recharge the battery, cnnect the Recharger Unit int the CHARGE utlet. The Charge utlet is lcated n the back f the Capsa Slutins AC Medicatin cart in the AC Systems Supprt Panel. Imprtant: The battery charge and lck/relck infrmatin is based n the standard Capsa Slutins AC Pwer System. If the battery s charge is cmpletely depleted, fully recharging the unit may take three r mre hurs. Hwever, t access the cart s functinality while the battery charges, cnnect the Recharger Unit t the cart s charge utlet and t a 110v wall utlet. Allw the battery t recharge fr apprximately tw minutes befre accessing the cart. Securing the Capsa Slutins AC Medicatin Cart Intrductin As a cart user, it is extremely imprtant that t secure the Capsa Slutins AC Medicatin cart after each use. When the cart is secured, its lck is retracted, the LCD is blank, and users r unauthrized persnnel cannt interact with the cart. The cart is equipped with an AutLck system that enables securing the cart manually r by using the keypad. In additin, the cart s Aut Secure setting autmatically secures the cart after a predefined length f time. If the cart has the ptinal enarc accessry and the cart is secured when an enarc drawer is pen, the cart sunds an alarm. The settings can be mdified as the needs f the rganizatin change r t better fit the wrking envirnment. Fr example, in an envirnment f high activity in which the cart is frequently bumped r mved, the level f sensitivity can be decreased n the cart s mtin detectr (MTN DETECTOR). In an area that requires high security, adjust the cart s alarm t a higher auditry level, and s frth. Managing Access Cdes General Navigatin The Access Cde setting n the cart is cnfigured as General r Specific. A General cnfiguratin means that the cart is cnfigured fr use with ne access cde. Therefre, if mre than ne user is accessing the cart, individual activity can be tracked. A Specific cnfiguratin means that the cart is cnfigured t have multiple users r a grup. Each user must be assigned a unique access prfile s that individual user activity can be tracked using the Event Recall functinality. If the cart has the ptinal enarc accessry, the Access Cde cnfiguratin affects which NARC CODE settings can be used: If the Access Cde is set t General, the NARC CODE setting must als be General. If the Access Cde is set t Specific, the NARC CODE setting can be set t either General r Specific depending n needs. Nte: The cart saves all settings and user access prfiles that are used with Specific cnfiguratins. Therefre, as needs change, the cart can be switched between Specific and General cnfiguratins withut having t re-enter user prfiles. When accessing the cart settings feature, the system displays all f the settings in the LCD as a cntinuus list. T mve thrugh the list in rder t view settings and navigate t a specific setting, press 1 (ACCEPT) t advance in the list t the next setting withut changing the current setting. MTN Detectr This setting cntrls the cart s aut-relck mtin detectr sensitivity. The default setting is LVL5 (level 5). Available settings are OFF and the range f LVL 1 t LVL 10. LVL10 is the mst sensitive. Access Cde This setting cntrls the type f user Access Cde that the cart requires. Available settings are General r Specific. General means that the cart is cnfigured fr use with ne access cde. Therefre, if mre than ne user is accessing the cart, individual activity cannt be tracked. Specific means that the cart is cnfigured fr use by multiple users r grups. When the Specific is selected, users must be added and assigned with unique fur-digit Access Cdes.
