1 Redwood Region Porsche Club of America February 2018 Board Meeting Board Reports and Meeting Minutes In attendance (6): President Craig Steele, Secretary Alan Geddes, Past President and Treasurer Mike Hinton, Membership Director Tom Short, Autocross Director Greg Matsumoto, Communications Director Stacy O'Connell. Guests (2): Sharon Castle, Grady Carter. Absent (6): Vice President Chip Witt, Goodie Store Manager David Bunch, Safety Director Mac Cranford, Concours Director Simone Kopitzki, Social Media Director Kurt Fischer, Webmaster Kim Powers. Meeting called to order at 7:05 PM on February 27, 2018 by President Craig Steele at Mary s Pizza Shack, 121 San Marin Drive, Novato. Motion to approve the January 2018 Board Minutes made by Stacy, seconded by Tom and unanimously approved. President s Report (Craig Steele): Attended TRG Tech session and wine tasting, showed off Suzy, my new 2011 Cayman S Attended Kurt s Car and Coffee on Super Bowl Sunday, most of our board was there Missing our Crab feed to attend Zone 7 President s meeting in Livermore 1. PCA hopes have 100K member households 2. Zone 7 Concours streamlined to three classes Street, Touring and Full 3. Redwood needs to update its Zone 7 page 4. Update PCA er with associate members s 5. We must be better at getting our observer reports on time (insurance provider needs to see them) 6. Review the Min Driving Tour Standards 7. Encourage membership to recent PCA webinars 8. Register for SVR Crab 37 if planning to attend 9. Plan to attend Concours school on 4/15/ Rennsport corrals sold out 11. PCA Treasurer presented Risk Management and Insurance coverage 12. Waiver and insurance certificate only way to get an event coverage 13. Any incident first call Ken Laborde, 504/ Several region have conducted surveys with good results 15. Various region shared local event that simulate participation: a. Meeting for a weekly Saturday breakfast b. Date your Porsche event (½ day) c. ½ lunch tours, AM to noon d. Porsches and Pastries, strictly a social gathering, no driving
2 Attended PCA Board of Directors meeting on Monday, 2/26 at 6PM Submitted my monthly dr message Completed the AOA Badge audit and turned in the results Picked-up the 2018 Airport lease document for our nine AX events Submitted insurance package for Crab Feed Tour Signed up for Porsche Parade Lodging, 7/8-14/2018 at Lake of Ozarks, #767A Chip and Kim will not be in attendance for February board Items for Discussion: Discuss Simone s next steps for Concours Discuss new zone 7 AX rules Keep San Rafael PO Box? Changes in my household situation (New life month 5) Upcoming Events March 3rd - Hoppy Porsche Brewery Tour March 17th - Whale to Whale Tail Tour March 24th - AX#1 April 7th - Tech Session at Hi Tec April 14th - AX#2 May 5th - Station House Run May 18th-20th - SVR Crab 37 May 26th AX#3 Run for the Crab Report (Sharon Castle): 106 attendees Volunteers worked out very well; looking for volunteers to take on more organizational responsibility next year Financial report presented to Board Vice President s Report (Chip Witt): Cannot attend 2/27 Board Meeting due to business travel. Attended TRG Tech Session. Was asked by TRG for attendee list, which I denied. Offered instead to send a personal message from Kevin on his behalf, which I did on 2/19. Attended Crab Feed. Tremendous success. Kudos to Sharon Castle, Kurt Fischer, Joe Burroughs, Vern Rogers, and the entire volunteer staff recruited by Sharon. Hoppy Porsche Brewery Tour encountered a short-lived hiccup when the original Event Coordinator(s) had to sit it down. With the help of Vern Rogers and Bob Hall, we secured the venue at Brewsters in Petaluma and organized a good route for the tour. Insurance and all other logistics managed. As of 2/26, 14 cars, 20 total attendees. All AX MSR pages setup and provided to team for web and social network sharing. MSR for Concours stubbed, but will not be open for registration until I can complete the workflow components when I m back in town first week of March. URL provided to Simone to help with finalizing flyer.
3 Think I ve seen the final details for the Whale to Whale Tail Rallye coming together, so will be creating MSR for that once I get the full details and a flyer from Kurt/Stacy. Need to circle back with Hi Tec re: their Tech Session planned for April. Have had some backand-forth with Greg Maissen, but need to finalize things and start thinking about flyer. Personal note: Replaced Sasha s windshield, which was damaged by a rock back in August of last year heading down to Monterey for Werks. Took about two and half hours in my driveway. Work completed by Clearview Auto Glass, a vendor that does all of TRG s glass work when needed. Job well-done with OEM glass ordered from Porsche directly. Items for Discussion: (none) Treasurer s Report (Mike Hinton): This report covers the period from January 1 through January 27, The Redwood Region Treasurer delivered a report on the Region's finances to the Board of Directors. The report showed current bank balances and details of expenditures and income for this period; the report was accepted. Finances remain strong and are in accordance with expectations. Anyone wishing to see additional financial detail please contact the Region Treasurer. Additional discussion about editing prior month s Google Docs Board Report vs. starting from scratch with each new month s report. Decided to try editing prior month s report to see how it goes. Past-President s Report (Mike Hinton): Attended tech session at TRG. Maintained the minutes for the January Board meeting in Alan s absence. Participated in Podcast #7 with Vern Rogers and Kurt Fischer. Topic was our experience as Past Presidents of the Club. Give it a listen: I thought Chip did a great job of moderating! 9 Goodie Store Manager s Report (David Bunch): Nothing to report Concours Director's Report (Simone Kopitzki): Submitted permit for Lucchesi Park, Concours Event 9/23/18 Paid $140 Security Deposit (actual Fee and insurance submission due at least 30 days prior to event) We are allowed to have Vendor booth (but we are not allowed to charge them a fee - or we need to pay a higher permit fee)

Have Griots, Cartelligent (Model Cars) and a towel seller (a neighbor), Exclusive Options and Retro Grade already signed up. The Vendors will sponsor a Trophy for our Display Cars (Concours Cars will receive different trophies) Items for Discussion: Need Approval for $20 for Display cars (lunch will be included) original idea was only $15 but the breakfast and lunch will cost already $15.
