1 PRODUCTION GUIDE

2 ELECTRICITY Lights in the garage are sodium and florescent. Each artist may use up to 400 watts for additional lighting (regardless of booth size and location). Please observe this limit to avoid overloading which will cause outages for fellow artists and you will be asked to comply. Artists must provide their own UL-approved extension cords that are for outdoor use and multi-plug power strips with a current overload safety device. A receptacle will be available within 100 of your booth. In case of power outages, artists are required to have a flashlight at their booth. We appreciate all efforts to conserve energy. The BAM ARTSfair is striving to become more eco-friendly and recommends exclusive use of LED lighting. Please note that any custom lighting kits must be pre-approved by the Bellevue Fire Department. BAM ARTSfair organizers retain the right to restrict and/or deny the use of power to any exhibitor if misuse occurs. You may not use the conduit or sprinkler piping to support your electrical cords. You may use clear strapping tape or duct tape to attach cords to the garage beams and ceiling. All tape must be removed on Sunday. We recommend that you bring a ladder for this purpose. Please see Fire Department Regulations for more information. The power check is on Friday, July 27 at 9:00 am. Turn on all lighting in your booth for the power check to identify problem areas. Please report any problems to the Main Information Booth, located on West Drive (near S booths), directly outside the parking structure. INSURANCE/LIMITS OF LIABILITY Each exhibitor must insure his/her property against the risks of fire, theft, burglary, breakage, weather and water damage. The BAM ARTSfair will not be liable for any damage or loss whatsoever, arising from any cause, nor for any loss incurred by reason of failure of the exhibitor to obtain such insurance or failure of such insurance to cover any loss. No exhibitor shall have any right or claim for any damages whether direct, indirect or consequential, or of any other kind, arising or alleged to arise by reason of any postponement or cancellation of the BAM ARTSfair. It is the artist s responsibility to confirm that all credit card and check transactions are legitimate. CANCELLATION/REFUND No fees will be refunded due to fraud/theft. The deadline for a 75% refund due to space cancellation is. Notifications of cancellation after May 1, 2018 will not be eligible for a refund. WIRELESS ACCESS Wireless is available on-site, but we cannot guarantee it in every booth. Because this is a temporary event and the setups are temporary, it is impossible to predict availability for each space beforehand. The BAM ARTSfair has invested in equipment, vendors and staffing because we know that a lot of our exhibitors need it for sales transactions. Please be prepared with an alternate system if wi-fi is not available in your booth. We ask that you only use it for sales transactions!! Please do not use it to stream for anything other than sales, this does cause issues for your fellow exhibitors. Please be patient while we troubleshoot on-site. If you have issues, go to the Main Information booth (located on West Drive).

3 SECURITY BAM ARTSfair security has received consistently high marks from participants. The majority of the perimeter is fenced, with security on duty at all times, but this is an open site. Police officers are on duty in the surrounding areas as well. However, please take all precautions to protect yourself and your merchandise as you would at any public event. Artists are responsible for the security of their own exhibits and equipment. We encourage you to cover/enclose your booths after closing each night and to not leave purses out in public view. Cash should not be left in an unattended cash box. Please notify Security, Main Information, or a BAM Staff person as soon as possible if you have any concerns. The BAM ARTSfair is not liable for loss or damage, so please protect yourself from loss with adequate insurance. Please note that all persons can enter the site at 7 am and must exit by 11 pm. No camping is allowed on-site and those attempting will be treated as intruders. SAFETY TIPS Below are common sense tips to keep your artwork/belongings safe. We recommend these guidelines to help lower the opportunity for theft to take place. Report all suspicious activity to Security at and be prepared to provide a description of the subject to include gender, clothing, height, etc. Don t leave personal belongings unattended, even if covered. Keep any cash, credit cards, etc. on your person. Watch for people carrying empty and open bags. Watch for unknown persons in unauthorized areas near or behind your display tents. Do not leave your displays unattended if at all possible. Ask a fellow artist or volunteer for help. Please notify Main Information or Security as soon as possible if there is an issue. Theft is a crime of opportunity.

4 FIRE DEPARTMENT GUIDELINES The City of Bellevue Fire Department has clear guidelines for exhibitors. Please note that the guidelines regarding Flame Retardant materials will be strictly enforced!!! Please read all requirements thoroughly and follow accordingly to ensure that you will not be affected onsite. Representatives from the Bellevue Fire Department will be available to answer any questions you may have during set-up on Thursday, July 26. Please contact the Bellevue Fire Department at for specific questions. Exhibitors under the garage (F-R spaces), CANNOT have canopy tops on booths. Exhibitors outside the garage (S spaces), may have canopy tops. 1. Flame Certificates Required On-Site & Flame Retardant and Flame proofing Services All tents, membrane structures, sidewalls, tarpaulins, drops, curtains, draperies, hangings and other decorative materials (excluding the artwork being displayed) suspended from walls or ceilings of booths are required by the International Fire Code to be flame retardant. Verification of the product/ item in question as being flame retardant can only be accomplished via a valid Flame Certificate. The Flame Certificate must be available on-site. It shall indicate the product/item in question meets NFPA 701 or California State Fire Marshal requirements for flame retardancy. If a product/item is inherently flame retardant, a Flame Certificate should be available from the manufacturer upon request that indicates it meets NFPA 701 or California State Fire Marshal requirements for flame retardancy. When a product is not flame retardant or there is no Flame Certificate available for the product, it must be treated by a third party to render it flame retardant. The treating party should then provide a Flame Certificate indicating the product/item meets NFPA 701 or California State Fire Marshal requirements for flame retardancy. See Flame Retardant & Flame proofing Services below. The use of oilcloth, tarpaper, sisal paper, nylon, Orlon and certain other synthetic materials that cannot be made flame resistant are strictly prohibited. Hay, straw, shavings or similar combustible materials shall not be located within any tent, membrane structure, or booth as a floor covering. Items which are not accompanied by a valid Certificate of Flame Resistance shall be removed. If the item(s) is unable to be removed from the show floor prior to the show opening, the show doors may be held and/or the vendor/exhibitor s booth may be closed! Combustibles Cardboard boxes or any combustible materials shall not be stored or placed on top of any heat producing appliance or electrical wiring behind the back wall booth, drapery or any kind of display. Combustible materials must be limited to reasonable quantities and stored neatly. 3. Obstructions NO CEILINGS/CANOPY TOPS are allowed on the exhibits, booths, and displays under the garage (F-R). If you are located in an S space, outside the garage you can have a canopy top. Fire sprinkler piping shall not be used to support anything, including but not limited to artwork, booths, lighting, electrical cords, etc. No obstructions in the aisle (chairs, easels, signs, etc.). Keep all items within your booth. All fire protection and firefighting equipment such as fire hydrants, fire department connections and standpipes shall have unobstructed accessibility. Do not cover Exit signs with your display. 4. Electrical / Extension Cords & Multi-Plug Adapters - Extension cords shall service one appliance or one approved power strip/power tap, and shall be three-wire type (with ground). All cords shall be protected from physical damage and foot traffic. Multi-plug adapters must be UL listed/approved and have current (electrical) overload safety device. Cube adapters and other devices, which increase outlets are not acceptable unless equipped with an internal circuit breaker. All spliced wires and open junction boxes are prohibited. Nothing shall be attached to, or hang from electrical conduit. PARKING, SHUTTLE + VEHICLE ACCESS PARKING & SHUTTLES Bellevue Square parking is for customers only. Free off-site parking is provided for artists Thursday, July 26 - Sunday, July 29 at Bellevue High School. Shuttle service is available to and from the BAM ARTSfair all day, every 20 to 30 minutes. The Artist Vehicle Pass (received when you check-in on Thursday) must be visible in order to use the Artist Parking lot. No camping or overnight stays are allowed at Artist Parking or on-site. ARTIST PARKING: Bellevue High School Hours Thursday, July 26 7 am - 11 pm Friday, July 27 7 am - 11 pm Saturday, July 28 7 am - 11 pm Sunday, July 29 7 am - 10 pm VEHICLE ACCESS & RE-STOCKING Vehicles are allowed on-site Friday through Sunday before the event opens, from 7:30 am - 8:30 am and after the event closes, from 9:45 pm to 11 pm. If your vehicle is parked on Bellevue Square property outside of the above hours, it will be towed. WARNING - TICKETING POLICY Please be advised there is no parking for artists in the Bellevue Square Parking garage. Bellevue Square is the gracious host for the BAM ARTSfair. At their request, we ask that artists do not park in the garage during this congested weekend because space needs to be available for customers. The more convenient we make it for customers to park the more likely it is that the public will attend the Fair and have access to Bellevue Square. This policy will be strictly enforced by Bellevue Square Security.

6 CHECK-IN (Thursday, July 26) The most important part of getting onto site, is making sure you are in the correct loading lane at the correct time. Prior to arrival, verify your check-in time and your designated lane (Lane A or Lane B). This information is located on your booth assignment letter. Also, if you have to cart items to your space, make sure to come prepared. BAM ARTSfair has a limited amount of carts to share, first come-first served. TIPS: If you need to change your check-in time or if you are an Overheight vehicle (over 6 10 ) and were not given Overheight designation, contact meredithl@bellevuearts.org by May 1, 2018 Do not arrive before your designated check-in time. You will not be allowed to line up or unload. You will cause problems for the rest of the artists in the line because you will have to exit and come back later. Do not leave your vehicle parked while unloading and leave the site. This causes lanes to be blocked and will cause huge issues for traffic flow. Your car has the potential to be towed if the owner cannot be located. Questions? Go to Main Information located on the West Drive (near S booths). West Drive is the main drive through BAM ARSTfair. Park your car at your assigned space first. LANE A #1. Drive to Lane A (see Map + Directions). Your Check-In Time and Row Number are located on the booth assignment . Volunteers will come to your vehicle, to check you in. #2. Volunteers will bring you a Welcome Packet containing an Artist Vehicle Pass. Hang this on your rear view mirror. Without this pass, you will not be able to enter the site with a vehicle or use Artist Parking located at Bellevue High School. #3. As traffic allows, officers will direct you to gain entrance to the site. Go to your designated Row to find your booth. Then, unload your vehicle and move it to Artist Parking at Bellevue High School. A shuttle will bring you back to site to finalize setup. TAXIS, SHUTTLES, or NON-VEHICLE CHECK-INS If you re checking-in without a vehicle, go to Main Information on West Drive (near S booths) to check-in. F-R booths can check-in after 8 am & S booths can check-in after 6 pm. If you are loading in on a taxi or shuttle, contact meredithl@bellevuearts.org. LANE B #1. Drive to LANE B (see Map + Directions). Your Check-In Time and Row Number are located on the booth assignment . It is extremely important to load-in at your assigned time, because there is minimal Overheight parking available on-site for overflow. Each vehicle has 1 hour and 30 minutes to unload. #2. You will receive a Welcome Packet containing an Artist Vehicle Pass. Hang this on your rear view mirror. Without this pass, you will not be able to enter the site with a vehicle or use Artist Parking located at Bellevue High School. #3. As space allows, you will be directed to park. You will have to cart your items to your booth. Bring carts! Unload your vehicle completely and move it to Artist Parking at Bellevue High School. A shuttle will bring you back to finalize setup.

7 CHECK-OUT (Sunday, July 29) IMPORTANT! A CHECK-OUT PASS IS REQUIRED FOR ALL VEHICLES TO GAIN ENTRY TO THE SITE. #1. Each artist is to breakdown and pack up as much of their booth as possible, before getting their Check-Out Pass or vehicle. #2. Indicate you are ready for a Check-Out Pass by waving your booth sitter flag or locate a staff person checking out artists, near your booth. A staff member will verify that enough of your booth is boxed up & ready to pack into your vehicle and give you a Check-Out Pass. You will not be allowed in the Check-Out lanes unless you have a Check-Out Pass. Lane A Once you receive your Check-Out Pass, get your vehicle at Artist Parking and drive to Lane A. As traffic allows, officers will direct you to gain entrance to the site. If you have a standard height vehicle (under 6 10 ) and can access your booth better from the back of the garage, please alert the staff at the traffic lane (suggested for booths near the back of the show). Only overheight vehicles with booths located on S row will checkin from Lane A. Lane B Once you receive your Check-Out Pass, get your vehicle at Artist Parking and drive to LANE B. ALL OVERHEIGHT VEHICLES MUST USE LANE B FOR LOAD OUT UNLESS THEY ARE S BOOTHS.
