3 Welcome on Board The Indian Property Show! Going into our 19 th edition in Dubai, the Indian Property Show is more than just an exhibition. NRIs believe that the show is the single most credible platform for information and commerce on Indian Real Estate. Hailed in 2006, the show was an eye-opener for both NRIs and builders alike. Over the years Sumansa Exhibitions has taken the show across the globe to giving NRIs all over a chance to invest in India. Our pioneering partner exhibitors were surprised by the response from visitors, who were able to make quick decisions after understanding what was really on offer. Over the years, the Indian Property Show has conducted 18 shows in Dubai, with each of them being even bigger and better, every time. The response of NRIs in Dubai has been tremendous and builders have always made their sales - even during testing times. This Exhibitor Guide is a complete guide to all the information that will help you prepare for the show. This document covers everything from setup days for your stand to shipping and couriering your goods to the show. Through this document you will be guided through every stage of preparing to participate in the show as this aims to make your experience at the Indian Property Show hassle free and truly memorable. 4 Event Information Banks & Credit Cards Most of the major international banks are represented in the UAE. Business hours are Sunday to Thursday, and closed on Friday and Saturday. Distribution of Material/Canvassing The display or distribution of any material, in any form, from any area within the Exhibition Hall, other than within the boundary of your stand is strictly prohibited. Car Parking Free parking areas are available opposite the Convention Gate entrance of DWTC. See Page 12. Carpet All gangways will be covered with carpet. The carpet colours for the shell scheme stands are grey and the passage/pathway carpet colours are blue. Cleaning General cleaning of the hall, gangways and stands will be the responsibility of the organisers. Cleaning of exhibits will be the responsibility of the exhibitor. All stands will be cleaned prior to each opening of the show. It is essential that internal gangways are kept clear of rubbish and other obstructions at all times. During the build up, exhibitors and their contractors are responsible for ensuring all waste materials are identified in order to assist the cleaning staff. If exhibitors are likely to have a large quantity of waste material while demonstrating their exhibits, please apply in writing to the organisers. If you have a locked enclosure within your stand, it is essential that a duplicate key is handed to the organisers (clearly labelled with your company name and stand number) by the last day of build up to allow access for cleaning. Customs All articles being brought into the U.A.E. for the exhibition should be re-exported within 90 days. For any goods that are not re-exported a 4% duty will be charged. Please note that it is advisable not to enter the country with a film in the camera. Please see notes on videos in this section. Delivery of Exhibits Exhibits must be delivered to the goods entrance at the rear of the exhibition halls. The organisers, whilst providing general hall security, can take no responsibility for exhibitors possessions. Valuable items that can be easily removed should not be left unattended at any time. Deliveries cannot be made during the show opening hours and must be made before or after the printed exhibition visitor hours. Documentation and Restricted Items The preparation of documents must be in accordance with the regulations laid down by the United Arab Emirates Customs Authorities. Companies who are in doubt as to whether the import of their goods to Dubai is restricted should contact the relevant Government Trade Office of the country of origin. Additionally, any goods of a hazardous nature should be separately listed on invoice forms and full particulars (i.e. IMCO Classifications etc.) given so that suitable storage can be arranged. Electrical Installations on Stands For Shell Scheme please refer to Your Stand for more detailed information. For Space only please complete and return the form mentioned as Mandatory. Electrical Regulations Please refer to Your Stand on the following pages. Emergency Procedure Exhibitors will be given instructions regarding the fire, emergency and accident procedures prior to the opening of the show please ensure that all stand personnel and contractors read these carefully. Exhibition Manager s Office The exhibition manager s office will be clearly signposted on arrival at the venue and will be open throughout the exhibition, including during build up and break down. 4

5 Event Information Exhibitor Badge During build up, an exhibitor badge will be available at the information desk, which is situated within the organisers office. Kindly ensure that the badge is worn on all three days of the event. Indemnity & Authorized Signatories The exhibitor must undertake to indemnify the organisers from and against any payment, which the organisers are called upon to make to the local authorities on the exhibitors behalf with respect to any customs levy, tax, fine or other monies due from the exhibitor. The organisers require a list of personnel authorized to place orders on behalf of the exhibitor with the organisers, their contractors and subcontractors. Two specimen signatures are required from each authorized signatory. Kindly refer to the lower portion of the checklist form (FORM 1). Fire Regulations The Dubai World Trade Centre will provide, at various locations around the Hall, fire extinguishers of suitable design and capacity, according to the risk involved, and with full instructions as to its use. In the case of all stands, all materials used in the construction of stand fitting and display must be fireproofed and must conform in all respect, with local regulations. First Aid The centre is permanently staffed. Should the need arise, please approach the nearest member of security staff. Floor Loading Capacity Please refer to Your Stand on Page 9. Furniture A limited quantity of furniture is available for hire to exhibitors. If interested, kindly contact the organisers. Height Restrictions Please refer to Your Stand on Page 9. Insurance The organisers, whilst taking every reasonable precaution, decline any responsibility for any loss or damage, which may befall the property of an exhibitor from any cause whatsoever. The exhibitor must ensure his or her legal liability as stated in the Rules and Regulations, and is strongly advised to obtain adequate insurance to include cover for products during the entire period of the exhibition, including transportation. Language - UAE Arabic is the official language, although English is widely spoken in business circles. Companies tendering or dealing with government departments within the country are advised to submit letters, reports, documents, etc., in Arabic. It is considered a courtesy to have some sales and promotional material in the Arabic language. Lighting General lighting is provided in the exhibition halls. For specific details on stand lighting, please refer to Your Stand on Page 9. A range of lighting is available from the official contractor. Name board Exhibitors with shell scheme stands will be provided with stand name and number on Stand Fascia. Exhibitors are not permitted to affix any display material on name board. Space Only exhibitors are reminded that they have to display stand name and number on each open front of stand. 5

6 Event Information Optional Display Aids To display exhibits with an economical stand fitting and display service, a range of display aids are available for hire. The Opening Ceremony and Invitations On the morning of the opening, the hall will be sealed off for security purposes, and open only to exhibitors an hour in advance of the official opening so that any final preparation can be made. Kindly note that, at this time only exhibitors wearing their badges will be allowed admittance through the appointed entrance, which will be advised during the build up. Please also note that exhibitors will be subject to a security search. The exhibition is to be officially opened at hrs. Photography A photographer will be available at the show to photograph your stand and exhibits etc. Please visit the organizers office if you require photographs of your stand or of the official opening ceremony. Publicity and Visitor Generation Campaign Advertising A major advertising campaign encompassing the entire Middle East, Asian and international media is underway. The campaign will appear in Arabic and English. Public Relations Through a high-profile and extensive PR campaign, news of this exhibition will reach throughout the UAE and other GCC countries. This campaign is ongoing and we are constantly sourcing additional media avenues through which to promote the event. Direct Mail Invitations, leaflets and other promotional aids will be distributed throughout the target areas through trade and industry groups, chambers of commerce, embassies and directly to the many thousands of potential visitors involved in all aspects of the industry. By conducting their own separate mailing and specific publicity campaigns, exhibitors can generate an increased level of visitors to their stands. A special VIP invitation will be sent to influential personnel within the Middle East s governmental bodies and infrastructure sectors. It is an established fact that exhibitors who take steps on their own to supplement the Organiser s publicity will obtain far greater value from participation than those who neglect such opportunities. Restaurant Facilities A mobile cafe and express counter is available at DWTC Hall 2. They will be open on all the show days. The cafe serves light refreshments, hot and cold drinks. Security The organisers in conjunction with the local authorities in Dubai will control general security arrangements for the exhibition. Security cover commences at a scheduled period and no goods will be allowed into the halls before this time. Please refer to the Show Time Table on page 11. Although every reasonable security precaution is taken throughout the build up, open periods and breakdown, the organisers cannot be held responsible for any loss, damage, or accident, which may occur to any exhibitors or contractors property or personnel. We strongly recommend that any small/attractive items be kept under constant supervision and removed each evening. Your stand should not be left unattended at any time. If you have a locked enclosure within your stand, it is essential that a duplicate key be handed to the Organisers clearly labelled with your Company name and Stand Number. Signage For additional advertising media, Sumansa Exhibitions can offer you the rental of additional signage for your stand. e.g. hanging banners, standing banner stands illuminated mobile light boxes etc. Contact organizer for details. 6

7 Event Information Shell Scheme The organisers will be responsible for the supervision and erection of the official shell scheme and to provide a full on-site management and technical service. Space Only Please refer to Your Stand on Page 8. If you have chosen to take Space only, it is important that you enclose proposed plans for your stand. Please refer to the deadline checklist Page 23. Stand Design and Construction Please refer to Your Stand on Page 9. This section covers all services available to your stand. There is a numbered order form for each service available. Please refer to the deadline checklist for the order form deadlines. The forms should be completed and returned to the contractor as specified on each form. Retain a copy of each order form for your records. Remember, it is in your own interest to complete and return the order forms on time. Stand Services Storage: There is no storage space in the exhibition hall. However, empty cartons, crates, wooden boxes etc. will be collected from the exhibitor by the recommended local freight forwarder International Shipping Line during the build up and re-distributed back to the exhibitor for re-use during the break down period. Temporary Stand Personnel: Exhibitors who wish to employ stand personnel should contact organizer. Trademarks The federal trademarks law was published in October 1992 and came into force on 12 January The Federal Law enables registration of trademarks with the Ministry of Economy and Commerce, but regulations are as yet to be made and implemented concerning registration and administrative procedures. Any exhibitor wishing to receive further information on the trademarks law should contact their embassy in the UAE. Transport Taxis are widely used and offer a safe and convenient mode of transport. We recommend that you use the Dubai government taxis, which are metered. You can usually pick them up in the street; alternatively you can order them by contacting: +971 (4) Remember to keep sufficient change for your journey. Video Tapes Exhibitors proposing to use videotapes at the exhibition are advised to obtain the necessary clearance through the official shipping and freight contractor, as videotapes are normally confiscated on entry to the UAE. When satisfied as to the content of a tape, the authorities will order a release and it can be reclaimed. However, the time factor involved in clearing tapes is variable, and exhibitors should give due consideration to this problem if videotapes are to be used as part of their display. We recommend videotapes are therefore sent to the UAE via the recommended shipping and freight contractor, International Shipping Line, who will arrange the necessary clearance and delivery to stands. A minimum of 20 days is required for the service. Water and Waste Water and Waste facilities are available on certain sites in the exhibition halls. Should exhibitors require these facilities, please apply in writing to organisers and contractors. 7

8 Your Stand As a participant of the Indian Property Show you will either receive a shell scheme stand or space only area based on what you have booked with us. SHELL SCHEME STAND SPACE ONLY A shell scheme stand is an area complete with a structure of aluminium poles and wooden panelling. You will receive the following items along with your shell scheme stand: Lockable Cabinet 6 Sqm Stand Sqm Stand Sqm Stand -. 2 Fascia Name Board (Provided for all open sides of the stand) Spotlights 6 Sqm Stand Sqm Stand Sqm Stand -. 8 In the space only option you will only receive the bare space. There will be no carpet and no electrical point provided. If required you can order an electrical supply separately by filling in the form on Page 22. 9 Your Stand Shell Scheme Specification Exhibitors who have ordered shell scheme will receive a stand to the following specification erected by the Official Stand fitting Contractor. All exhibits and display materials must be contained inside the stand area. No company logos or other fittings may be attached to the name panel or fascia. End of row or corner stands will only have two walls constructed i.e. two open sides. Floor Covering: Grey colour carpet laid direct to floor over entire area of stand. Walling: 100cm wide panels. White plastic finish set in aluminium frame. No fixings may be made to the walls. Brackets available for Exhibitors display panels, signs etc. Fascia: 30cm deep at 220cm high to the underside comprised of aluminium frame with in fill panel fitted between dividing walls with additional supports at corners and where fascias exceed 400cm in length. Name Board: Stand lettering fitted to the shell scheme fascia. Where the stand fascia exceeds 600cm an additional name panel will be fitted. Please refer to Stand Services. Roof Beams: 70mm deep aluminium beams will be fitted to take lighting fixtures. Electricity: With each 12 square meters, 4 x 100w spotlights are fitted behind the fascia and 1x 13 amp socket outlet is provided at floor level on the rear wall. Furniture: Included with each 12 Sq M Shell Scheme are: 1 table, 3 chairs, 1 lockable cabinet and 1 waste bin. Should you require additional furniture, a limited range and quantity of furniture is available for hire. Exhibitors are advised to order immediately to avoid disappointment. to affix nails, hooks, tacks, screws, adhesives, paint or similar items to the floors, walls, ceiling or other parts of the premises. Please refer to the show timetable and remember that all stand fitting and installations must be completed by 2200 hours on the last day of build up. Exhibitors occupying shell scheme stands must ensure that all internal stand fitting and displays are contained within the shell scheme structure and do not exceed 240cm in height, or 100cm wide within 50cm from the front of the stand. No display materials may be fixed to the shell scheme fascia. Exhibitors may affix lightweight photos, technical information, sheets, etc. direct to the shell scheme walls with double sided adhesive tapes or any similar material, provided such materials can be removed at the close of the Exhibition without damage to wall panels. Carpet All aisles inside the exhibition halls will be carpeted. Floor Loading The floor loading capacity is 1500kg / sq m within the exhibition halls. Space Only Specification Stand fitting and display work on Space only sites must not exceed an overall height of 300cm. Please ensure that your stand design does not include the standard shell scheme as this is provided by our official stand contractors only, and plans containing shell scheme will be rejected. Exhibitors arranging their own stand fitting are reminded that, where their stand joins another exhibitor s area, the back of any dividing walls, panels or exhibits must be painted white or masked to present a neat appearance. It is the responsibility of exhibitors not taking shell stands to make their own arrangements for the provision of suitable floor covering for their area and also to ensure their stand number is clearly displayed. Stand Design & Construction In the case of all stands, all materials used in the construction of stand fitting and display must be fireproofed and must conform in all respects with local regulations. No projections of display materials or exhibits into the gangways will be permitted. It is strictly prohibited 9

12 Getting to the Venue The Indian Property Show will be held at Hall 2, Dubai World Trade Centre. DWTC is located at the start of Sheikh Zayed Road. It is adjoining the DWTC Metro Station. DWTC is a 10 minute drive from the Dubai International Airport. The below map show the location of DWTC Hall 2, the DWTC Metro Station and few other prominent locations such as Novotel Hotel and Ibis Hotel. 26 About the UAE Time The UAE is FOUR HOURS ahead of GMT. Business Hours Government offices open at 7.30am and close at 3.00pm Banking hours are generally from 8.00hrs to 15.00hrs. Normal shopping hours: 9.00am - 1pm and 4.00pm pm Most shopping centres are open from 10am to 11pm Shops close for Juma (Friday) prayers from 11.30am to 1.30pm Govenrment offices remain closed on Fridays and Saturdays. Private institutions are closed on Fridays. Climate The favourable time to travel is from October to May. The days are warm and the nights are mild. From December to February the temperature is around 24 C, although it can cool down during the night and in the morning. Electricity Domestic supply is 220 volts. Sockets suitable for three-pin 13 amp plugs of British standard design are the norm, but you may bring your own suitable adaptor with you. Weights and Measures The UAE uses the metric system, although British and US standard weights and measures are understood Health The UAE is reported to be a safe health zone, thanks to government immunization programmes, the provision of adequate clean water and high standards of cleanliness. Adequate sunglasses, hats and high factor sun creams are essential, especially for children. Public hospitals may deal with emergencies free of charge, yet medical insurance is prohibited from wearing swimsuits on public beaches. When socializing in local company wait until a hand is offered to you for a handshake, some devout Muslims prefer not to shake hands with a woman. Photography Avoid photography of Muslim women and do not photograph airports, docks, telecommunications equipment, government buildings, military and industrial installations. Cuisine The UAE offers a variety of cuisines. Expatriates of all nationalities patronize their traditional eating habits. Restaurants, hotels and snacks bars offer European, Asian and Arabic menus. Alcohol is served in restaurants attached to hotels. 27 About the UAE Safety The UAE has virtually crime free environment and visitors need have no concern about venturing out at anytime of the day of night, either by taxi or on foot. Shopping The UAE is a shopper s paradise. A wide variety of merchandise to suit every taste is available. From the devil-may-care to the count every-penny, there is something of interest for all Tipping Tipping is not expected, but not uncommon. Some restaurants add service charges to the bill, if not included, add 5 to 10 percent of the bill. Taxi drivers do not expect to be tipped. Mail Post offices are located in almost every part of the town. Airmail letters to Europe cost approximately Dhs 3 and postcards Dhs 2. The concierge in your hotel will usually sell postage stamps and may post letters for you. Public Transport Taxis are readily available and reasonably priced. There are two types of taxis that operate in Dubai: Dubai Transport (beige taxis which run on metres and are good value) and private taxis (rates are negotiable). Within the city, short journeys will cost between Dhs. 10 and Dhs 20, and for longer trips across the Creek or into suburbs, you can pay between Dhs 25 and Dhs 50. Taxis on standby at the hotels are generally more expensive. Most beach hotels operate courtesy buses into the city centre on a regular basis. Metro Connecting every end of Dubai, the metro is the most popular mode of public transport in the city. The Metro has been able to help decongest traffic and provide an efficient and faster alternative public mode of transport to the people.
