1 PR OGRAM RULES 2019 LEXUS CROWN JEWEL RECOGNITION PROGRAM PR OGRAM RULES and TERMS AND CONDITIONS Goal Lexus will recognize the efforts of its dealer organization to provide world-renowned customer care and achieve service and parts performance goals. Program Period January 2, 2019, through March 31, 2019 (the Program Period ) Eligible Participants Requirement One Service Manager and one Parts Manager from a Lexus dealership must be enrolled in the Lexus Crown Jewel Recogition Program (the Program ) by January 14, 2019 in order for that Lexus dealership to be eligible as a team and have the opportunity to earn a travel award within a designated dealership grouping. Enrollment To enroll, each manager must go to the Lexus ENCOMPASS portal to complete the enrollment form. Please note that only one family trip and one couples trip is allotted per winning dealership. Therefore, prior to enrollment, the Service Manager and Parts Manager must decide who will enroll for the family trip and who will enroll for the couples trip. Program Scoring Qualifier/Tiebreakers To qualify for participation in the Program, enrolled dealerships must meet a minimum score of 92.0 percent for the Service Survey: Overall Satisfaction Index (a rolling index for the entire Program Period). In the event of a tie between top-performing dealerships, the dealership with the higher Service Survey: Overall Satisfaction Index score will be declared the winner. Enrolled in one or more of the following Lexus Service Digital Advertising Programs: Social media (Facebook ads) Video (YouTube pre-roll) Display banners Must be live by February 15, 2019, and active through the March 31, 2019 program end date. Validated by Shift Digital. Or b. Dealer Website: Online Service Appointment Scheduler Factory Recommended Maintenance Schedule with pricing incorporated into electronic service menu. Validated by DSPM.* Inactive-Customer Campaign Campaign must be initiated out side of regular ENGAGE inactive communications. One inactive campaign (mail or ) must be completed during the Program Period. Campaign must specifically target inactive Lexus vehicles with no service visits within the last 12 months. Service Smarts for Retention (SSR) is the required source for the customer list. The customer list must have a minimum of 200 customer VINs. (Questions? Contact your DSPM.) If Affinitiv is not the business partner used to fulfill this inactive campaign, dealership must provide confirmation information.** a. Or b. Points for completing one inactive campaign (validated by DSPM) awarded once Takata Airbag Remediation Event Hosted group event Must be completed between January 2 and March 25, Dealer must provide the following to DSPM* as validation: o Event results report (number of invitations sent, number of remedies completed, VIN list) o Copies of invitation o Event pictures Service Connect 85% or greater alert lead management 85% or greater Service Connect Opt-in, January March, 2019 YTD index * Validated by DSPM by March 31, Points for one hosted event (validated by DSPM); awarded once 5 points/month 5 points (awarded once) **The following information must be forwarded to your DSPM as validation if Affinitiv is not used to fulfill the inactive campaign: Dealer name/number Date sent Campaign type December 17, 2018 FINAL Page 2 of 6
3 Customer selection (i.e., customers with last-visit dates between 12 and 18 months ago) Creative sample Campaign summary, confirmation, or affidavit with creative sample Final mail count Official Reports Performance scores are calculated based on month-end data from the prior month. Preliminary monthly scores are calculated and posted on the Crown Jewel website during the second week of February and March, Final monthly scores are calculated and posted during the third week of February and March, The final standings of the Program will be posted by the last week of April, For specific scoring details, please visit the Lexus Crown Jewel Program website, accessible via the Lexus ENCOMPASS portal. Program Awards Family Trip Details The family trip attendees consist of the winning manager, one adult guest, and two children (immediate family only). Families with more than two children are responsible for air travel, accommodations and activity costs for each additional child. See Children s Buy-In information on the Lexus ENCOMPASS portal. Couples Trip Details The couples trip is for two people only; winning dealership manager plus one guest. Dealership manager and guest must be at least 21 years of age. Award Inclusions Roundtrip airfare Roundtrip airport transfers Hotel accomodations at designated hotels during travel dates Group activities and certain group meals during travel dates Lexus Western Area The two top-performing dealerships in each of Crown Jewel Dealer Groups 1, 2, 3, 4, and 5 will each be awarded two trips: The one top-performing dealership in Crown Jewel Dealer Group 6 will be awarded two trips: December 17, 2018 FINAL Page 3 of 6
4 Lexus Central Area The three top-performing dealerships in each of Crown Jewel Dealer Groups 1 and 2 will each be awarded two trips: The two top-performing dealerships in Crown Jewel Dealer Group 3 will each be awarded two trips: Lexus Eastern Area The one top-performing dealership in each Crown Jewel Dealer Group will be awarded two trips: The runner-up performing dealership overall from Crown Jewel Dealer Groups 1 and 2 collectively, Crown Jewel Dealer Groups 3 and 4 collectively, and Crown Jewel Dealer Groups 5, 6, and 7 collectively will each be awarded two trips: Lexus Southern Area The three top-performing dealerships in Crown Jewel Dealer Group 1 will each be awarded two trips: The two top-performing dealerships in each of Crown Jewel Dealer Groups 2, 3, 4, and 5 will each be awarded two trips: Terms and Conditions Winning Service Managers and Parts Managers must be employed by the winning dealership during the entire Program Period through the time the award is distributed to be eligible to receive a prize. Winning Service Managers, Parts Managers, and their guests must execute a Liability Release and Photography Release Agreement provided by Lexus in order to receive the Program travel award and participate in the family or couples trip. 5 Lexus reserves the right, at any time and in its sole discretion, to audit and verify a dealership s performance and records, and to disqualify or otherwise declare ineligible any dealership, including any Dealer Principal, General Manager, Dealership Manager, or employee, which in Lexus sole discretion fails to adhere to any term of the Lexus Dealer Agreement, these Program Rules or the goals of this Program. All questions regarding the proper application or interpretation of the Program Rules will be subject to final determination by Lexus, a division of Toyota Motor Sales, U.S.A., Inc., in its sole discretion. Lexus reserves the right to modify, discontinue or cancel the Program or any part thereof at any time, with or without notice. Substitution and Transferability Travel awards cannot be redeemed or exchanged for cash. Such awards are not transferable, cannot be sold, nor may they be combined with or exchanged for other awards, alternative travel dates, etc. No exceptions will be made, nor will provisions be made for award winners unable to travel on the planned operational dates. Points earned during the Program do not carryover and are for the purpose of comparing service performance only; they have no redeemable or intrinsic value. Questions All questions pertaining to the Lexus Crown Jewel Recognition Program should be directed to the Lexus Area District Service and Parts Manager. Tax Status of Awards The travel awards (including airfare, hotel, food, activities, and transportation) have a current estimated fair market value of $13,329 (Maui, Hawaii family) and $8,756 (Paris, France couples). Toyota Motor Sales, U.S.A., Inc. does not issue any 1099 s or any other tax documentation to dealerships or participants or award recipients, nor does it report any tax or award information to the IRS relating to awards under the Program. Any reporting responsibility and any liability for federal, state, or other taxes imposed on awards received in the campaign will be the responsibility of the dealerships and participants, including award recipients, and not Lexus, Toyota Motor Sales, U.S.A., Inc., participating distributors, the award fulfillment vendor, Maritz Travel, or any of their applicable parent, subsidiary or affiliated entities. For tax reporting purposes, the Dealer Principal and award recipients for each winning dealership will receive information regarding the value of the award received at the end of the calendar year in which the award was received. R esponsibility Lexus, Toyota Motor Sales, U.S.A., Inc., and their parents, subsidiaries, and affiliated companies maintain no control over the personnel, equipment, or operation of any air, water, or surface carrier, ship line, bus, or limousine company, transportation company, hotel, restaurant, or other person or entity furnishing services, products, or accommodations as part of the trip, because all of these suppliers are independent contractors. Lexus, Toyota Motor Sales, U.S.A., Inc., and their parents, subsidiaries, and affiliated companies shall not be liable for any injury, claim, damage, loss, expense, accident, delay, inconvenience, or irregularity that may be caused or contributed to (1) by any wrongful, negligent, or unauthorized act or omission on the part of any of the suppliers, or any of their agents, servants, employees, or independent contractors; (2) by any defect in or failure of any vehicle, equipment, instrumentality, service, product, or accommodation that is owned, operated, furnished, or otherwise used or provided by any of the suppliers; (3) by any wrongful, negligent, or unauthorized act or omission by or on the part of any other person or entity not under the direct control of Toyota Motor Sales, U.S.A., Inc.; or (4) by any other cause, condition, or event whatsoever beyond the control of Toyota Motor Sales, U.S.A., Inc. During the trips, participants may have the opportunity to participate in various optional activities, such as tours, excursions, and side trips. 6 and affiliated companies shall not be liable for any injury, claim, damage, loss, expense, accident, delay, inconvenience, or irregularity arising out of or relating to such participation or activities.
