1 A-Z OF GENERAL INFORMATION ALCOHOL The consumption of alcohol within the halls during build-up and breakdown is not permitted. Alcoholic drink will not be available from the catering outlets within the halls during these times. Please see information under Sampling for alcohol sampling or information under Catering if you would like to supply alcohol as part of stand hospitality. BADGES & PASSES No contractor or exhibitor will be permitted access to the event without the relevant pass / badge. This applies at each point of entry to the venue. These are as follows: EXHIBITOR BADGES Exhibitor badges will be computer generated and produced by our registration company. You can apply for your badges by completing your details via this link: The badge will carry your individual name as well as the company name. The badges are for security and identification purposes and give exhibitors free access during build-up, open and breakdown periods. Please remember to order badges for any temporary staff you are employing to work on your stand. 2 Exhibitors may apply for contractor badges for use by their own staff who will not be on-site during the Open Period. Alternatively the Exhibitors Badges are valid throughout the show, build up and break down inclusive. Contractors can order badges direct from the Organisers through the form in the Contractor Manual and/or the Health & Safety Declaration Form. BUSINESS SERVICES For business services, including Faxing, internet access, printing from USBs, laminating, mobile phone hire and charging services are available from Business Service, located on level 0 of the boulevard. Business Services also sell a range of products including; stationary, tools, tape, extension leads and batteries. Telephone +44 (0) or info@abouttowncarriages.co.uk CAR PARKING ExCel London offers on-site parking for 3,700 cars including over 2,000 spaces directly beneath the venue. All onsite parking is pay and display. The ticket machines are located within the car parks and accept coins, notes and credit cards. As ExCel London is a green venue, all pay and display machines will be found on stand-by which will activate as soon as you insert your card or cash. The exception to this being Royal Victoria multi-storey car park, which is located at the west end of the site, next to the Crown Plaza Hotel. Car park tickets are issued via a barrier system on entry and payment should be made on departure. Payment machines are located at the entrance to the car park on level zero and on level two and accept both cash and credit card. The undercroft Orange car parks zones 1 16 have a 1.9m height limit, and the Royal Victoria (Blue multi-storey has a height limit of 2m. The East car park has no height restriction. Car parking charges apply equally to the build-up, open and breakdown periods, and are 20 per day. Please note there is no hourly rate. Motorcycle parking is free of charge. LORRY PARKING (7.5T AND ABOVE) There are lorry-parking facilities available at ExCeL London. These are available on a first come first served basis by arrangement through the Traffic Administration Office off-site. The ExCeL London team can then brief the driver direct regarding security measures, access and the no-overnight sleeping arrangements. Spaces are free of charge during the build-up and breakdown periods but are charged at VAT per day for the open period of the event. CATERING A selection of restaurants and café bars will be open during the exhibition, some of which will also be open during the build-up and breakdown periods. A schedule of catering and refreshment facilities will be advised to you prior to the exhibition. STAND ORDERS Catering for the stand (sandwiches, biscuits, beverages, wine, fruit, disposables etc) can be organised through ExCeL Hospitality London (formerly Leiths). Stand catering is designed to be a pre-paid drop-off service for all your on-stand food and drink requirements. Orders should be placed 72 hours before delivery is required. An order is only confirmed once payment has been fully received. 3 provider. Exhibitors are requested not to bring their own food and drink onto stands (with the exception of their own products). Exhibitors are also reminded that entertaining should take place in areas of the stand that are partitioned off and not open to the public. Please also contact ExCeL Hospitality London if you require on stand services such as waiters /waitresses. Product sampling will be allowed under certain conditions please see information on Sampling ExCeL Hospitality Team T: +44 (0) E: To order click here CHARITIES If it is your intention to allow a charity to collect donations within your stand area at the exhibition, you must inform the Organisers, in writing at least 28 days prior to the event, of the full charity name, address and charity registration number. CHILDREN No persons under the age of 16 are allowed into the exhibition hall during build-up or breakdown. There are no exceptions to this rule. CLEANING All gangways and common areas within the exhibition hall will be cleaned overnight by ExCel s cleaning department. You and your contractor are responsible for removing and disposing of excessive waste from the exhibition hall. Waste materials (e.g. carpet, carpet tape, construction materials, flooring, furniture, food waste and pallets) MUST NOT be abandoned on-site. Organisers are not responsible for the clearing of such rubbish and will pass on any costs incurred to the contractor or exhibitor should any dumping occur. In particular, please note that the wholesale dumping of magazines and brochures at the end of the event will be charged for as this will incur skip costs from the venue. Please take them away with you. Skips can be hired through ExCel s cleaning department, please contact Osman Deen direct on +44 (0) or osmandeen@excel-london.co.uk STAND CLEANING Cleaning of all stands is included in the stand cost, however please contact ExCeL direct if you have any special cleaning requirements, such as window/glass cleaning or scrubbing of vinyl floors. Osman Deen ExCeL Cleaning Department Tel: +44 (0) osmandeen@excel-london.co.uk Exhibitors with locked areas on their stand must ensure they leave a duplicate key, on the last day of build-up, with the Organisers Office. This will be retained by the cleaning contractor until the end of the exhibition. If the activities on your stand mean that you will produce a large amount of waste that needs to be removed regularly throughout the day, please contact the cleaning contractor direct to obtain a quotation for these services. Rubbish should be placed each evening in the gangways and NOT left on the stand. A Z of General Information 3

4 CODE OF PRACTICE During the open period of the exhibition, please ensure your stand is manned throughout the day and all exhibits remain on display; this includes making sure that your stand is open for business on the last afternoon until 1700 hrs. In order that no discourtesy is shown to last minute visitors, there must be no dismantling of any displays or exhibits before 1600hrs on Wednesday 22 March. CUSTOMS CLEARANCE For clearance of goods/exhibits through customs, please contact our freight forwarding agents who will be able to help you. They can provide a complete package for the transportation of goods that includes clearance, temporary import bonds, processing of ATA Carnets and re-exportation documentation. They can also give free advice on all aspects of import procedures and will provide you with a quotation on request. During the exhibition, ExCeL London is within the scope of the Temporary Importation (Goods for Exhibition) Regulations as explained in Notice 200. DELIVERY OF GOODS No deliveries can be made prior to the first day of tenancy (Wednesday 15 March 2017). All exhibits, materials and literature must be delivered carriage paid, direct to the stand. The goods should be clearly marked with the exhibiting name and stand number. The Organisers are unable to accept responsibility for any goods delivered to stands that are unmanned and regret that they are unable to sign for goods, exhibits or other material on behalf of an exhibitor or contractor. If you are not bringing your products to the venue yourself, the Organisers recommend that you use the services of our freight companies - Agility Fairs & Events - especially if sending goods from overseas. Their details can be found under Freight Forwarding under the Official Contractors listings. COURIERS Please consider carefully before using the services of a courier company to deliver to ExCel London. Courier companies are often not prepared to queue in a traffic system NOR indeed will they make sure that packages reach the correct destination. If packages go astray it is often difficult to trace them, particularly when IFE opens over a weekend. We strongly recommend you at least contact either Agility for a quote as this might be cheaper than you think. Please complete and return the Lifting, Handling & Freight Order Form for your hall to receive a quote on the services you require. Deliveries during the open period can only be made between hrs, before the exhibition opens. COURIER RECEPTION DESK If you do use a courier, IFE17 will implement a Courier Reception desk to receive deliveries below 50kg. This service will be in operation from Friday 17 th Saturday 18 th March ONLY between 9.00am and 6.00pm. How this works: Courier Arrives at ExCeL Traffic Marshalling Yard Instead of waiting in the queue to go up to the lorryway they go to the Courier Reception Desk Your goods are signed for by IFE s freight forwarding company. 5 You will be contacted to see if you are ready to receive the goods. If you are not arriving on-site until Saturday 18 th you can still have your goods delivered on Friday and they will be held securely until you arrive. Our lifting and freight forwarding company will then deliver your goods to your stand. What do you need to do? Provide a contact telephone number to the courier so that when they drop the goods off you can be contacted. Name: Information for your label Company: Exhibition: IFE 2017 Stand Number Address ExCeL, London, E16 1XL Contact Telephone: DILAPIDATIONS / DAMAGE TO HALL Please remember that you are responsible for making good any damage caused to the fabric of the exhibition buildings by you, your agents or contractors. In your own interests you should satisfy yourselves as to the condition of your stand site before the building of your stand and after its clearance. EQUALITY ACT 2010 The Equality Act meaning of disability is a person that has a physical or mental impairment which has a substantial and long-term negative effect on your ability to do normal daily activities. Discrimination is when a person with a disability is treated less favourably than others would be treated and that this treatment in question relates directly to their disability and it cannot be justified. Please note that it is unlawful to discriminate against a disabled person in refusing to provide, or deliberately not providing, to the disabled person any service which is offered or provided to other non-disabled persons. This also relates to the standard of service which is provided to the disabled person or the manner in which it is given. Therefore, all exhibitors must design their stands in a way as to not discriminate against disabled visitors; this would include, among other things, access to displays, literature, hospitality areas and meeting rooms. For further information and guidance on what constitutes a disability, we suggest you look at and search for the Equality Act FIRST AID A fully equipped Medical Treatment Room will be manned and operational throughout the hours of build-up, open and breakdown periods. This is located on level 0 of the Central Boulevard. If you need to contact them call: +44 (0) GANGWAYS Emergency gangways will be in operation during the build-up and breakdown of the exhibition. These should remain completely clear at all times. Details of which gangways are affected will be issued prior to the show. Under no circumstances should any part of your stand, furniture, or exhibits etc. project beyond the boundary of your stand, with the exception of the Organisers shell scheme finger signs. Exhibitors should only work within the confines of their stand. No doors or windows shall open outwards onto an aisle. A Z of General Information 5

6 The exhibitor should not engage in any activity or employ any person or device that tends to create unreasonable congestion in the gangways in the opinion of the Organisers. GRATUITIES Neither ExCeL London staff nor contractors personnel are permitted to accept gratuities for services rendered or a service to be rendered. Please notify the Organisers if any personnel solicit gratuities. Zibrant offer a FREE service and have negotiated special rates in conjunction with the exhibition that give considerable savings over the normal room rates you would expect to pay. You are advised to make your request to Imaginations as soon as possible in order to reserve your chosen hotel. INSURANCE Fresh Montgomery Rules & Regulations require all exhibitors to have a minimum level of insurance cover in order to participate in a Fresh Montgomery event. Fresh Montgomery no longer provide the option to add a standard exhibitor insurance package policy to meet these minimum requirements. Exhibitors who do not currently have the required cover may wish to buy insurance from Hiscox Event Assured. Exhibitors without cover are under no obligation to purchase the required cover in this way and we are not recommending you use Hiscox. If you are an EU Company and do not already have insurance, please buy an exhibitor insurance package for IFE 2017 by clicking on the link: Please make sure you read the T&Cs with your contract to ensure you are familiar with the clause. For further information on insuring your stand at the event please go to Please note that, as the main contracted stand-holder, you are responsible for any loss, damages, claims, etc arising out of your stand and the activities of any stand-sharers at the Exhibition. If there are other Companies sharing your stand, it is in your interest to ensure that they too hold adequate insurance cover. Stand-sharers may contact Hiscox directly too. Hiscox Event Insurance, Tel: +44 (0) LICENCES (PPL & PRS) If you intend to play pre-recorded background music or have live music on your stand during the course of exhibitions, you are required by law to obtain music licences. If you would like to do this please contact Operations Team on +44 (0) or kayleigh.williams@montex.co.uk LOST PROPERTY Any lost property found should be handed to the exhibition security team, who will retain it until the end of the show, when it will be transferred to the venue security office. 7 NOISE Exhibitors creating excessive noise that disturbs adjacent exhibitors will be asked to reduce the sound to an acceptable level (a maximum of 60dB at the edge of your stand). If this is not complied with to the satisfaction of the Organisers, they will be asked to cease such activities in the interest of the overall exhibition. ORGANISERS OFFICE The Organisers have an office in both the North (between N3 & N4 hall entrance) and the South Halls (between S3 & S4 entrance). These will be open from hrs each day during the build-up, open and breakdown periods, and until 2200hrs on Saturday 18 and Wednesday 22 March. REMOVAL OF EXHIBITS Exhibitors wishing to remove exhibits during the open period of the exhibition must inform the Organisers in advance or they will be stopped by security. SAMPLING ExCel London must be informed of any sampling activity at the event. ExCel London regulations state that all food and drink to be consumed on or given away from a stand (other than exhibitors own products) must be purchased from ExCeL Hospitality London (formerly Leiths), ExCel London s catering department. See information under Catering if you wish to provide stand hospitality. Exhibitors wishing to offer visitors the opportunity to sample any of their products must declare this on the Health and Safety Declaration. ExCel London has provided us with the following information which must be adhered to when sampling food, drink and alcohol at the exhibition. 1. Exhibitor Demonstration/Sampling Sampling will be permitted of exhibitors own products providing that prior notification has been submitted to Fresh Montgomery who will then inform ExCeL London. The type of product and method of sampling that you wish to undertake, including Food Hygiene practices, should be fully covered in your stand risk assessment and forwarded with the H&S Declaration by 24 th February Exhibitors may give away tasting samples no more than: *PLEASE NOTE THAT THE MAXIMIUM SAMPLE SIZE HAS DECREASED SINCE IFE 2015* Tea / Coffee / Soft drinks 50ml Alcoholic drinks o Spirits and Fortified Wines 5ml o Wine/ Beer/Cider/Lager/Alcopops 25ml Unwrapped food bite size portions A charge will be levied by the venue for serving sample sizes that do not conform to the above, which will relate directly to the infringement. Any exhibitor that wishes to carry out food sampling will be required to provide a copy of their basic food and hygiene certificate (which must be dated within the previous three years). This information must be sent to Fresh Montgomery, who will then provide ExCeL London with copies. Any exhibitor demonstrating a specific food or drink product will be allowed to provide samples to invited guests, specific to the product. For example, you will be authorised to distribute cups of coffee (if the coffee bean is your product), however you will not be authorised to distribute muffins with the coffee unless purchased from ExCeL Hospitality London (formerly Leiths). 8 Any exhibitor demonstrating a specific piece of equipment will be authorised to provide samples of the finished product to invited guests, specific to the design of the equipment. For example, you will be authorised to distribute cups of coffee from a coffee machine (if that coffee machine is your product), however you will not be authorised to distribute muffins with the coffee unless purchased from ExCeL Hospitality London (formerly Leiths). NB: To clarify the point exhibitors are allowed to sample their own products however other products such as alcoholic beverages which are not the exhibitors own products must be purchased from ExCeL Hospitality London (formerly Leiths). 2. Provision of Catering Fee (known as a Stand Back Fee) An audit will be conducted during the event to ensure that exhibitors are complying with the above rules and regulations Any exhibitor not complying may be subject to a Provision of Catering Fee (known as a Stand Back Fee) 3. Raw Product to demonstrate cooking equipment ExCeL accept that Leith s will be unable to supply the raw product necessary to demonstrate a specific piece of equipment, for example, raw steak used to demonstrate an outdoor grill. As such, they will not be applying a standback fee for this activity. 4. Catering supplied by ExCeL Catering Companies: Hospitality provided by ExCeL Hospitality London - includes staff, equipment, crockery, and service of the food and beverages bought from them menus available on request. Stand Catering provided by ExCeL Hospitality London - catering is in the form of stand drop only on disposable plates and does not include the service of the food to invited guests order forms available on request. You will need to make sure that your stand staff complies with the current Environmental Health Regulations governing the handling and sampling of food products. In addition the following conditions apply: All sampling must be contained within the stand no sampling may take place in the aisles or the Boulevard of venue unless through prior arrangement with the Organisers this includes the distribution of leaflets advertising your products to be sampled. Any stand offering food and / or drink is by law categorised as a food premises and is therefore subject to legislation under the Food Safety Act 1990 please see the Food Hygiene section. If exhibitors wish to give their product as hospitality please contact Leith s the venue s Hospitality Caterer. ALCOHOL SAMPLING Under the terms of the Licensing Act 2003, the venue stipulates that all stand holders serving and / or sampling alcohol must notify the Organisers - please complete and submit the Alcohol Sampling Form In addition to the sampling sizes, the following conditions apply: Stands sampling alcohol must be covered by a Personal License Holder please see the Alcohol Sampling Form in the Operations Zone for more details. All terms of the Licensing Act 2003 must be adhered to. Alcohol must not be served to anyone who is under the age of 18, or who appears to be under the age of 18 (unless proof of age is shown). Alcohol must not be served to anyone who appears to be under the influence of alcohol. The consumption of alcohol is not permitted on the exhibition floor during the build-up and breakdown periods of the event. Any stand offering food / and or drink is by law categorised as a food premises and is therefore subject to legislation under the Food Safety Act The legal penalties for breaches of the Licensing Act are severe. If any exhibitor fails to comply with these conditions their activities will be curtailed and, depending on the severity of the breach, they may also be banned from site. 9 UNDER NO CIRMCUMSTANCES MAY EXHIBITORS GIVE AWAY ALCOHOL AS HOSPITALTY (i.e. full sized drinks) UNLESS THIS ALCOHOL IS PURCHASED FROM THE VENUE CATERING DEPARTMENT. If you wish to offer your own product as hospitality please contact ExCeL Hospitality London (formerly Leiths), the venue s hospitality caterer to discuss this further on +44 (0) Exhibitors are not permitted to sell products from the stand. SECURITY Security will begin at 0800hrs on Wednesday 15 March 2017, with 24-hour security commencing at 0800hrs on Friday 17 March 2017, it is therefore recommended that portable exhibits are not delivered to the hall before this time. This cover will end at 1800hrs on Thursday 23 March 2017 although it is recommended that nothing of value be left on stands overnight on Wednesday 22 March; this includes product, graphics, and furniture or display items of any type. Exhibitors requiring additional security guards on their stand should contact Event and Exhibition Partnership direct on +44 (0) Exhibition halls are vulnerable places, particularly during the build-up and breakdown periods. Your stand is an open shop without windows or doors. Please take a few moments to consider how you can look after your products and belongings whilst on-site. Security Advice for Exhibitors Delegate one member of staff to be responsible for safety and security at the exhibition. Do not leave cash, handbags, mobile phones, valuables, etc. in unlocked drawers, cupboards or on exhibits on the stand. Do not leave wallets or purses in unattended jackets or coats. For shell scheme exhibitors, night sheets are available from the contractor. These provide a seethrough netting barrier which leaves the contents of the stand on view at all times, whilst deterring the opportunist thief. Do not ask a neighbouring exhibitor to look after the stand, as they may get too busy with their own. Exhibitors should arrive prior to the official opening time and not leave their exhibition stand at night before visitors are clear of the show. Check all lockable desks and cupboards before leaving the stand. The period around lunchtime ( hours) requires particular attention. Never leave the stand unattended. Any exhibitor with small valuables, which they wish to leave on their stand, should provide themselves with a lockable steel cabinet or other safe storage area. Do not lock goods away in hired cabinets on breakdown evening. The furniture contractor will be collecting these items on Wednesday evening Any exhibitor wishing to change their stand exhibits during the open period must do so between 0800 and 0900 daily. Contractors or exhibitor passes will be required for this period. Please note that build-up and breakdown days are high-risk periods. Exhibitors are recommended to work in pairs so that the stand is manned at all times. Do not assume your goods are safe just because you have packed them up and have left the stand to get your vehicle. Please report anything of a suspicious nature immediately to the Organisers office. Please do not hesitate to check with the Organisers on any security problems or queries. Exhibitors sustaining losses must notify the Organisers Office and the Security department immediately, giving all relevant information. Do not wait until you have cleared site. 10 SPECIAL EXHIBITS Please note any company intending to exhibit the following: cars, motorbikes, any engine driven vehicle [see also Vehicles on Stands], balloons etc., water features, or have activities on the stand not previously covered in this manual, such as massaging, tarot readings etc., must advise the Organisers in writing as special rules and regulations and licensing arrangements may apply. Balloons may be used as part of the stand display. However, the topside of the inflated balloon must not exceed the stand build height limit of 6m, neither should it any time be released into the roof. Exhibitors are liable for any charges incurred whilst retrieving, or damage caused by, loose balloons. With the exception of Guide Dogs, no animals are permitted in the exhibition halls at any time. Under no circumstances may live animals be used as a stand attraction or demonstration at this event. STORAGE Exhibitors wishing to store empty packing cases for the duration of the exhibition should contact the lifting contractor Agility Fairs & Events. Please contact them direct for a quotation. By utilising the storage offered through the official contractor this should help speed up the breakdown procedure. The official contractor will be able to deliver the empty packing cases to your stand before your own vehicle may have gained access to the Lorryway, thus enabling you to continue packing goods and be ready for loading as soon as your vehicle arrives. On no account should exhibitors store product or empty packing cases behind their stands as this presents a fire risk. Offending items are liable to be removed and destroyed without warning. All product storage, for the duration of the show, should be contained within the stand area. Alternatively exhibitors can re-stock their stand each morning between 0800 and 0900hrs. Please note that the Organisers are not able to provide accessible product storage for the open period of the exhibition. STORAGE - FROZEN OR CHILLED If you require frozen or chilled storage at IFE 2017, please contact Lowes Refrigeration. Please note that the Organisers are unable to facilitate free of charge space on the exhibition floor for cold storage units. If you enter into an agreement with Lowe part of their costs will be for the floor space (at the commercial rate). TOOL KIT Exhibitors are recommended to bring an exhibition tool kit onsite. We suggest that it includes velcro, double sided tape, scissors, malleable wire, string etc., all of which may help you with dressing your stand. Also include stationery such as coloured pens, writing pad, paper clips, and stapler etc. for use throughout the exhibition. Perhaps you need to bring rubbish sacks or dust cloths with you to help keep the stand tidy. Unless you have booked the services of our official lifting contractor, you may also consider bringing your own trolley. TRAVEL TO EXCEL LONDON ExCeL London is located in the heart of Docklands alongside Royal Victoria Dock - one mile west of London City Airport and one mile east of Canary Wharf - just North of the North Woolwich Road. It has its own dedicated DLR station [Custom House for ExCeL London] with excellent road links and plenty of parking. By Tube The Jubilee Line is recommended as the quickest route to ExCeL London. The Jubilee Line runs through Central London via Bond Street and Green Park and also through mainline stations such as Waterloo and London Bridge. At Canning Town change to the Docklands Light Railway [DLR] - upstairs on Platform 3 - for the quick two-stop journey to Custom House for ExCeL London station. ExCeL London is in Zone 3 and London Underground tickets are valid on the DLR. It s recommended that you A Z of General Information 10

11 purchase a return ticket or an All-Day Travelcard to avoid queuing on the way home. By Road A road network links ExCeL London directly to the North Circular (A406), the M11 and M25, providing convenient access to the country's motorway network. The M1, A1, M3, M4, M11, M23, M26 and M40 motorways all intersect with the M25. ExCeL London is located just 1 mile east of Canary Wharf and 1 mile west of London City Airport. Another landmark reference is Tower Bridge, which is just 4 miles west of ExCeL London. ExCeL London is situated between Royal Victoria Dock and Victoria Dock Road. Key road sign to look out for are: ExCeL London, Royal Docks and London City Airport. It is important to highlight to visitors travelling by road to ExCeL London whether they should be following the signed for ExCeL London West or East as they approach the venue. Visitor car parking is available at either entrance. There are 3,700 car parking spaces on-site for more information please go to Car Parking. For a location map and local street guide please key E16 1XL into or for a route planner please key ExCeL London as your destination within The venue is NOT located within the Congestion Charge zone, as long as you don t travel through central London. At the Junction of the A406 turn left on to the A1020. Proceed to the roundabout and turn right into the Royal Albert Way. Continue straight along the Royal Albert Way where you will then pick up signs for ExCeL London West. Travelling from the North or West For visitors travelling from the north or west you are advised to leave the M25 at Junction 27 and join the M11 heading towards London. Follow the M11 till it ends and joins the North Circular, or A406 towards Docklands. Continue east bound along the A406 until you reach the signs directing you towards the Royal Docks and London City Airport. Follow the A1020 towards the roundabout turning right into Royal Albert Way. Please then follow directions to the venue ExCeL London West. Travelling from the South For visitors travelling from the South you are advised to leave the M25 at Junction 3 and join the A20 heading towards the Blackwall Tunnel. Follow the A20 until you reach signs for the A102, which will be marked A Z of General Information 11

12 Blackwall Tunnel. The A102 will take you through the Blackwall Tunnel. As you exit the tunnel stay in the left hand lane and follow signs for A13. Join the A13 heading east towards London City Airport. Come off at the first Junction and follow signs to Royal Docks & ExCeL London West. Travelling from Central London From Tower Hill, follow signs for London City Airport via East Smithfield, The Highway through the Limehouse Link tunnel onto the Aspen Way. This will take you onto Lower Lea Crossing. Follow signs to ExCeL London West. By Air ExCeL London is just a 5-minute taxi ride from London City Airport (LCY) with flights available from all major European destinations. For information or to book a flight please visit VEHICLE ENTRANCES There are 9 vehicle entrances serving the North Halls and 9 serving the South Halls. Each vehicle entrance is 7m high x 5.3m wide. VEHICLES ON STANDS To display a car, bus, motorbike or any other vehicle on a stand, exhibitors must advise the Organisers via to kayleigh.williams@montex.co.uk by no later than 17 February VEHICLE PROCEDURES / ACCESS TO LORRYWAYS The address to access the Lorryways when arriving at ExCel is: Address: Traffic Administration, ExCeL Exhibition Centre, Sandstone Lane, London E16 1XL. Please remember to add Sandstone Lane to any Sat Nav or GPS Device. There are lorry-parking facilities available for contractors, situated within the North West Lorry Park. All lorry parking is subject to availability and is free of charge during build-up and breakdown days, but is charged at the following rates during the open period: Transits (up to 3.5t) per day 3.5T and above per day BUILD-UP VEHICLE PROCEDURES All vehicles delivering goods during the build-up must adhere to the following directions: 1. Access to ExCeL London for all delivery vehicles is via the East Gate (follow local road signs). 2. Follow the signs from the East Gate marked Deliveries / Traffic Marshalling Yard. A Traffic Marshal will show you where to park in the Marshalling Area (located on the North side of the building) and then direct you to the Traffic Administration Office. 3. In the Traffic Administration Office, drivers will be issued with a Lorryway Access Document (LAD). This will detail the date, show name, name and number of the stand, and vehicle registration number. 4. A Traffic Marshal will then direct you to the best queuing lane for your vehicle this will depend on your stand location and how busy certain sections of the lorry way are. Please do not automatically drive to the shortest traffic queue it may not be the quickest for you! 5. When space becomes available you will be directed onto the North or South Lorryway, depending on your stand location. At this time you will be given a time limit for unloading or loading, depending on the size of the vehicle. Drivers must adhere to these time limits. Those exceeding the time limit may be clamped or removed. If extra time is needed drivers should discuss this with a marshal on the Lorryway outside the hall. 6. Unloading / loading times stamped on the documents are, as a rule of thumb: A Z of General Information 12

13 Articulated lorry = 1 hour 30mins Transit / Luton / 3.5 tonne = 30mins 7.5 ton lorry = 45mins Cars = 30mins 7. Once the vehicle has been unloaded it must be removed from the Lorryway. The marshal at the exit point will collect your document. Vehicles can then be parked either in a car or lorry park. NB: Lorryways are open hrs from Wednesday 15 to Friday 17 and until 2200hrs on Saturday 18 March. In the event of a breakdown or accident, please contact a marshal immediately. The co-operation of all drivers will be much appreciated and will help facilitate a smooth build-up for everyone. BREAKDOWN VEHICLE PROCEDURES Breakdown Procedures will be confirmed in the Exhibitor Update, which you will receive approximately four weeks before the show. Please make sure you read and understand the procedures and pass on the information to anyone who may be collecting goods or stand fitting from your stand during breakdown. Vehicles below Transit Size will be allowed to park in the Undercroft car park. Hand carryable goods can then be taken down the lift / stairs between Boulevards Entrances N2 and N3. NB: There is a parking charge at all times in the Undercroft car park. Wednesday 22 March Breakdown takes place between 1630hrs and 2200hrs It is prohibited to move goods from stands until this time. 1515hrs All vehicles under 3.5 tonnes 1600hrs 1700hrs All Exhibitors with vehicles under 3.5 tonnes All vehicles 3.5 tonnes and above Exhibitors with vehicles 3.5 tonnes and above Any under 3.5 tonne vehicles must have a Lorry Way Access Document, which can be collected from Traffic Administration, situated in the Marshalling Area on Sandstone Lane anytime from 14:45hrs, where they will then join the queuing system. Please have your vehicle details with you. You have a limited time period for loading and must adhere to this. Vehicles will be given access to the North and South Lorryways, ready for Breakdown to commence at 1630hrs Any vehicles 3.5 tonnes and above must have a lorry way Access Document, which can be collected from Traffic Administration, situated in the Marshalling Area on Sandstone Lane anytime from 17:00hrs, where they will then join the queuing system. Please have your vehicle details with you. You have a limited time period for loading and must adhere to this. When room is available on the Lorry way, vehicles will be directed up the ramp to the hall doors. Drivers must follow the directions of the traffic marshals at all times. * Any vehicle 3.5 tonnes and above arriving on-site before 1700hrs will be parked in a holding area until 1700hrs Vehicles will have access to the North and South Lorry way approximately from 1700hrs Once in the queuing system, drivers must not leave their vehicles unattended. The reason for this is unattended vehicles will stop other exhibitors from gaining access to the lorry ways, any unattended vehicle will be ticketed and a fee levied.
