The Board reserves the right to reject any/and all bids for any reason. Items of various manufacturers may be bid; however, it is the responsibility of the bidder to satisfy the Board s representative that substituted items are equal to or better than the specified items. The Board s representative shall make all determinations in regard to equal to or better than. By submission of this bid the vendor agrees to all terms and conditions stated therein. When submitting on items other than specified, include complete engineering data on the items submitted. All bids must be submitted on the attached form and signed by the vendor. All bids are to be sealed and marked with the bid number on the outside of the envelope. Bids can be hand delivered or mailed before the bid date and time. Bids submitted by Fax or will not be accepted. It is the bidder s responsibility to comply with all local, state, and federal laws, regulations, codes licensing, and other requirements. The bidder must be prepared to substantiate compliance upon request by the Board s representative. It is the bidder s responsibility to submit a completed IRS Form W-9 or their social security number before any invoices can be paid. Bids may not be awarded to any party which is debarred or suspended or is otherwise excluded for participation in Federal assistance programs under Executive Order 12549, Debarment and Suspension. 2 The Rutherford County Board of Education intends, by this bid, to purchase AUDIO VISUAL EQUIPMENT and SUPPLIES for our school system. The items purchased are to be delivered to the location noted on the purchase order. Bid price is to include delivery. No minimum order required. Prices to be held for 12 months from date of board approval. All items bid must be equal to or better than manufacturer s item shown. Any substitutions from specified brand must be noted and manufacturers part number given. ITEM #1 OVERHEAD PROJECTOR Closed doublelet projection head, precision lenses and front-surface mirror, 10 x 10 aperture, 360 watts, 82 volts, 2200 lumens, 72 hour corner post-position. Easy, single knob focusing. Safety interlocking system, cool quiet operation. Built-in pen tray, three-year warranty on parts and labor. Equal to or better than Model 3M ITEM #2 PROJECTION SCREEN 5 x 5 Wall mount 60 x 60 matte type square steel case scratch resistant painted finish, suitable for wall, ceiling or map rail mounting. Screens to come with 6 wall mount brackets. Equal to or better than Bretford 2060M with KW6 wall brackets. ITEM #3 PROJECTION SCREEN 8 x 8 Heavy duty screen 96 x 96, wall or ceiling mounted, features camlock roller system, no-rub flat back case, matte white surface, flame retardant and mildew resistant. Equal to or better than Da-Lite Model B with No. 6 wall brackets. ITEM #4 PRESENTATION CART Cart shall have a large top surface (32wx24d) with (1) rectangular grommet that includes cable holder insert, remotes drawer in upper left compartment, pullout to fit PC in upper right compartment, sitting height pullout (@26.5 above floor) and at least 27 wide, lower right compartment for subwoofer (9 w x h), open front and rear, lower left compartment is locking with 1 adjustable shelf (>=18 w x H), large round grommet on back panel for cables and grommets/cable management throughout. There shall be a rear tip-out on the back upper compartment for easy cable installation. 6 surge protected outlets with 20 ft cord shall be provided. Cart shall feature (4) 5 locking swivel ball bearing casters. Cart shall be made from lb per cubic ft industrial grade core with dual sided Melamine laminate. Tops, and bottoms shall be 1-1/8 thick; doors, sides and shelves shall be ¾ thick. Edges shall be finished with vinyl pinned T-molding, and/or edge banding (3mm or 0.5mm). Delivered fully assembled. Must be equal to or better than a Custom Educational Furniture (LXT (TN-Ruth)-AZ1-GBB). ITEM #5 MOBILE EQUIPMENT CART Cart is to be 24 wide x 18 deep x 42 high on 4 casters, 2 locking and 2 non-locking, with a center shelf. Cart is to come with standard electrical assembly, two grounded outlets, 20 grounded cord with a built-in cord winder. Must be equal to or better than Bretford A, 2642-E. ITEM #6 PORTABLE RADIO/CD/CASSETTE BOOM BOX Boom box should have 10 watts RMS, top-loading CD player with 20 programmable memory, AM- FM stereo radio, dual cassette recorder, build-in microphone and jack, input/output line, auxiliary speaker output. Battery or AC operational. Built-in listening center with six (6) headphone jacks. Boom box should come with a one-year warranty on parts and labor; provide a permanently attached 3-wire grounded AC cord and a remote control. Must be equal to or better than a Califone 2455AV. 1

3 ITEM #7 CASSETTE RECORDER One watt, amplifier, 3 speaker, cue and review, counter, four ¼ headphone jacks, built-in mic, one mic jack, attached AC power cord. Equal to or better than Califone 3132AV ITEM #8 30 COMPUTER LAPTOP CART Entire cart shall come fully assembled and have one, 30"w x 15-1/2"d, 18-gauge steel, middle shelf and one, 32"w x 15-1/2"d, 18-gauge steel, bottom shelf. Top and bottom shelves can be divided with polypropylene dividers that create 15 compartments, per shelf. Dividers may be removed to accommodate larger equipment. Cabinet structure comes pre-assembled and consists of a pre-welded, 14-gauge steel, oval tubing frame and 18-gauge, pre-welded, steel side panels. Two, 18-gauge steel doors mount to the front of the cabinet and secure using a built-in handle lock assembly by either combination or key. Carts come with two 18-gauge steel rear doors that secure with the same handle lock as the front doors. Each cart shall have an internal "Power Manager" that regulates the power needed to charge all device batteries quickly and efficiently. Unit shall have four, 5" heavy-duty, plate mounted casters. All four casters swivel, for maneuverability in tight spaces, with the ability to lock two into a non-swivel mode, for transporting the cart long distances. Two casters, on opposite ends, have locking brakes to prevent rolling. Cart shall be constructed from "prime" steel, which contains 25% to 35% post-consumer recycled content and is finished with Concrete Gray powder coated paint with Aluminum tubing. Overall dimensions shall be 41"W x 26"D x 43"H. Must be equal to or better than a Bretford MDMLAP30-CTAL ITEM #9 18 COMPUTER LAPTOP CART Entire cart shall come fully assembled and have one, 22 1/4"w x 15-1/2"d, 18-gauge steel, middle shelf and one, 24 1/4"w x 16"d, 18-gauge steel, bottom shelf. Carts feature two shelves with eight compartments each, and have a built-in handle for easy mobility. The 32-outlet UL electrical system includes an Automatic Timer and 16- outlet Charger Unit. A large working surface and an extra 4-outlet power source add support for an extra netbook or printer. Rear grommet hole and cord winders on the side panel allow for cord management and easy access to electrical units. Perforated doors and rear and side panels allow ventilation of equipment when charging. Must be equal to or better than a Bretford NETBOOK32 2
