2 SALE OF SURPLUS EQUIPMENT PW Introduction: The Township is holding a surplus equipment sale to dispose of equipment and materials that are no longer required as part of our inventory. The surplus items for sale are located on display at the Public Works South Elmsley Garage at 441 Hwy 15 in Lombardy. Large items are displayed outside in the back yard and can be viewed anytime, while the smaller items are displayed inside the garage, and can be viewed during selected viewing times listed below. All items are being sold as-is and where-is. There is absolutely no warranty or guarantee of ANY kind, written or implied on any vehicle, material or piece of equipment. Bidders are solely responsible for satisfying themselves as to the condition of an item prior to submitting an offer. INSTRUCTIONS TO BIDDERS: 1. All items for sale are as is, where is 2. Bidders are encouraged to visit the PW Garage to view the items prior to bidding 3. All bids must be submitted on the Bid Form included in this document, excluding Item #1 and Item #2 4. Item #1 Tandem Plow Truck is listed on and bids must be placed through Gov Deals. Bids will not be accepted for Item #1 using any other format. Go to 5. Item #2 Tractor with sweeper, water tank and mower is listed on and bids must be placed through Gov Deals. Bids will not be accepted for Item #2 using any other format. Go to 6. To place bids for Items #3 to #44, and Lot #1 to #7, you must complete the Bid Form 1 and Bid Form #2, attached to this document, in pen and ensure forms are clearly legible and signed. 7. You may mail or hand deliver the forms, in a sealed envelope clearly marked with its contents to the Township office prior to 4:00pm on October 5, You may scan the Bid Form or take a picture of the Bid Form and it to a secured address that will not be viewed until after 4:00pm on October 5, bids@twprideaulakes.on.ca 9. Before submitting a bid, ensure you have completed the Bid Form correctly and signed it. Unsigned or incomplete bids will not be accepted. 2

3 10. When submitting a bid ensure that you CLEARLY indicate your offer. Bids that are illegible, incomplete or not clear will be rejected. It is to your benefit to ensure your bid is complete and accurate. If you do not want to bid for an item on the bid form, leave the appointed space blank. 11. To withdraw your bid you must submit a letter to the Township prior to the closing deadline requesting that your bid be withdrawn. 12. Multiple bids made by the same person the bid received last will be the accepted bid from that person. 13. All inquiries relative to this Sale of Surplus Equipment shall be directed to Michelle Jones, michelle@twprideaulakes.on.ca or call ext 230. However, bids will not be accepted at this address. 14. Upon notification of a winning bid, bidders have until October 17, 2018 to submit payment. If payment is not received by 4:30pm on October 17, 2018, the Township has the right to move on to the next bid for acceptance. 15. Once payment is received, purchasers will have until October 26, 2018 to remove the purchased item(s). If purchases are not removed from the property by 3:30 pm on October 26, 2018 the Township has the right to move on to the next bidder and payment will be refunded. 16. In the event of a tie for an item, a coin will be flipped in the presence of both parties. 17. Payment must be made at the Township Office in Chantry. Payment may be made by cash, cheque or debit. Receipts will be provided. If paying by cheque, pickup of items will be delayed, until payment has cleared. 18. Parties associated to the Township (Staff, Councillors, Volunteers, Contractors) may submit a bid, however those administrating the call for bids may not. OPTIONS FOR SUBMITTING A BID: a.
