3 OM&R charges per hour (Operating, Maintenance and Repair): Facilities Services fee assessed for any usage beyond normal building operation for all entities and during all times for off-campus groups. Commercial Non-Profit State of NV All UNR*** (To come from Facilities Services/Office of Planning, Budget, and Analysis) CSU Events Staff $17.00 per hour per staff person for all University Groups Student Organizations continue to pay $11 per hour with Student Union Programming being charged the additional $6 per hour for a total of $17 per hour being charged. $20.00 per hour per staff person for non-profit off-campus groups $24.00 per hour per staff person for commercial groups All events with an expected attendance of 100 people or more and/or with special/technical requirements (as determined by the CSU Scheduling Coordinator and/or CSU Technology Services Coordinator) normally will be required to have a minimum of one CSU Events Staff. Events which require access to the CSU outside its normal hours of operation may be required to have a minimum of 3 CSU Special Events Staff and Director Approval. Sponsored Fee: For a single meeting room - $25.00 per day For multiple meeting rooms on the same day - $50 per day For multiple meetings with multiple days per day For events - $ per day (defined by using an event space: Ballrooms, Theatre, Plaza, Great Room) For conferences - $ per day (Reservations that use a combination of an event space and meeting rooms) Set up/break down & Excessive Clean up (including food) Fee (To be reviewed by Planning, Budget, and Analysis) $62.00 per hour for Commercial, Non-Profit, individual and State of NV $17.00 per hour for all University Groups
4 Student Organizations continue to pay $11 per hour with Student Union Programming being charged the additional $6 per hour for a total of $17 per hour being charged.) Set up/clean up (including food) fee $40.00 per hour for UNR, University Recognized Student Organizations, and State of NV $62.00 per hour for Commercial and Non-Profit Clean up charges may be reduced if groups return the room to the original condition. Excessive clean up may result in higher clean up fees at the discretion of the Student Union Coordinator or designee. Any variation from standard set up (as defined in the Room Set Ups) may result in an increase in labor charges as determined by the Student Union Coordinator or designee. Set up/clean up fee Schedule: For full Ballroom standard set ups (A, B, & C), 9 hours of set up and 4 hours of clean up will be charged. For partial Ballroom standard set ups (A/B or B/C), 6 hours of set up and 3 hours of clean up will be charged. For one section Ballroom standard set ups (C), 5 hours of set up and 2 hours of clean up will be charged. For one section Ballroom standard set ups (A or B), 4 hours of set up and 2 hours of clean up will be charged. For Great Room, Pre-function Lounge, and/or Food Court Lounge, 8 hours of set up and 8 hours of reset/clean up will be charged if furniture is turned over. For Multipurpose Conference Rooms, 1 hour of set up and 1 hour of clean-up will be charged for Commercial, Non-Profit, and State of NV. For Theater, 2 hours of clean up will be charged all groups. Late Cancellations/No Shows Charges (To be reviewed no charges assigned at this point) Late cancellations are defined as follows: For large program spaces (Ballroom) - less than two weeks in advance. For medium multipurpose rooms - less than one week in advance. For standard pre-set rooms - after 2 business days before. Commercial, Non-profit, State of Nevada, and UNR departments may be charged for 4 hours of the appropriate facility use fee, plus labor. Sponsors with outstanding charges may be prohibited from reserving CSU facilities until the charges have been paid. ASUN/GSA recognized student organizations may be sent a warning letter for the first instance. The second instance may result in a charge of 4 hours facility use (UNR rate), plus labor. The third
5 instance may result in a charge of 4 hours facility use (UNR rate), plus labor. Any further instances may result in suspension of CSU scheduling privileges for the current semester. Equipment Rates No rental fees applied. All groups are responsible for the loss or damage of any equipment used during their function. EQUIPMENT DOES NOT LEAVE THE CSU. Outdoor Table Rates (Non-UNR) TOTAL $125.00/day Additional Information on Rate Structure Any access time to a facility (including access for catering, decorating, clean up etc.) normally will be included in assessment of total time and result in appropriate charges. Commercial & Non-Profit groups should submit deposit of 75% of estimated costs within 10 business day of making the initial reservation request. University Groups should submit an IPO for estimated charges to be on file with the Student Union at least 10 business days prior to the event. The IPO will be process after the event with actual charges. Any exceptions to the CSU rates and procedures should be approved in writing in advance.
