RE: Build-up & Breakdown Information Following are guidelines for build-up and breakdown: 1) Build-up Tuesday 12 th June All Exhibitors 8.30am 7.00pm Gangways must be cleared by 7.00pm Wednesday 13 th June All Exhibitors 8.00am 9.30am Gangways must be cleared by 9.30am PLEASE NOTE EXHIBITORS ARRIVING BEFORE THESE TIMES CANNOT BE GUARANTEED ACCESS TO THEIR STAND. Breakdown Thursday 14 th June 4.00pm 7.00pm BREAKDOWN MUST BE COMPLETED AND HALL CLEARED BY 7.00PM Please ensure that any contractors working on your stand are also aware of all regulations and restrictions. 2) FOR IMMEDIATE ATTENTION Due to the width of the show s gangways, any exhibitor displaying a large item on their exhibition stand ie an item that should be in your allocated stand area before the exhibition shell scheme is erected (eg a vehicle) must notify me immediately. I will need to allocate a specific time for your buildup. If I am not notified of your special requirements before Friday 1 st June, I cannot guarantee we will be able to accommodate you on the day. 3) I have enclosed various maps showing venue location and unloading facilities at the exhibition hall. The loading doors will give direct access into the hall. Once you have unloaded your vehicle, please move it from the unloading area to the car park. Parking is free at Harrogate for anyone attending the exhibition. 4) Attached is a vehicle pass. Please fill in the details and display the pass for the duration of the show. 5) Stand personnel must wear Exhibitor/Contractor badges at all times. These can be pre-ordered from the show website 6) There will be members of staff from Hamerville on site during build up, who can assist your staff during the day and there will also be staff from our contractors on
hand to help with your shell scheme or electrical requirements. A service desk will be set up in the exhibition hall. Please provide the staff who will be building up your stand with the necessary copies of forms that needed to be completed for the shows contractors, for reference on the day, as these should have been returned directly to the contractors. Hamerville do not have copies of these forms so resolving any problems on the day would be made much easier if these were available. I have marked on the enclosed map where the Organisers Office is in the Exhibition Hall. Yorkshire Event Centre Site Rules (Updated January 2018) Compliance with the YEC Health and Safety Policy, eguide, Health and Safety Legislation and CDM regulations is required at all times. Work at height appropriate management and safe methods of working at height is required at all times and must be covered by a thorough Risk assessment. No Hot Works are permitted onsite without written approval from the venue. Waste Management - Work Tidy, maintain good housekeeping at all times, and dispose of all waste in the large 1100ltr bins provided. Gangways and exit routes must be maintained at all times. Smoking / E-cigs is only allowed in designated areas and is strictly prohibited within any of the site buildings toilet blocks and temporary structures. Alcohol / Drugs - Anyone suspected of being under the influence of alcohol during build and breakdown periods will be ejected. The misuse of drugs onsite will result in ejection from site and reporting to the police. The Venue Management Team will have access to all CDM sites at all times. Traffic: o Site speed limit is 20mph o No vehicular access to the halls without prior arrangement o Loading and unloading using FLT s must be completed by suitably qualified personnel o Only LPG / Electric FLT s are permitted inside the halls o Always follow the direction of Traffic Marshalls, Security, or Venue Staff. PPE appropriate PPE should be worn for the task being carried out or if specified in your Risk assessment. We always encourage the use of appropriate footwear and Hi Visibility clothing at all times during the build and break phase. Children Children under the age of 16 are not permitted in the halls or any other areas of the site during Build and Breakdown phase of events. Animals Other than Guide Dogs or Assistance Dogs, animals are not permitted onsite without prior permission. Working Hours All activity must take place within the agreed tenancy period. The site will be locked down at all other times. If you require additional time please contact the Duty Manager as soon as possible
Welfare Arrangements Toilets - are available throughout the site (please see attached site plan), please note for security reasons a number of the outdoor blocks will remain locked when not in use, please see a member of venue staff to check which toilet facilities are available. Drinking water is available from all site taps, we always advise flushing taps through before drinking to ensure fresh water is obtained. Rest areas During Build and break seating areas are available in both cafes, when these café areas are open, consumption of your own food and drinks is not permitted. Food and Drink Can be purchased from one of the onsite cafes, alternatively Fodder and Sainsbury s are a short walk away. (Please see attached plan)
