TITLE III (HSI) STEM GRANT Classroom ipad Carts The Title III (HSI) STEM Grant at Hillsborough Community College has purchased several Bretford PowerSync ipad Carts for use in the classrooms. This manual is to describe the process we have gone through to set up and implement these carts into the Face to Face STEM courses.

MasterLocks 2 Per Cart Unit Cost- $10-13.00 7.Equinox Nylon Mesh Stuff Sack Unit Cost- $9.87 8.Command Hooks (Packs of 2) Unit Cost- $5.00 The purchasing started with the Bretford PowerSync Cart for the ipad. Each cart can hold 30 ipads and a computer. The ipads were less expensive to purchase in bulk sets of ten. Three sets of 16GB ipad 2s with WI-FI connection were ordered for each cart. We also ordered ipad Smart Covers for each ipad to protect the screens. All of these items were purchased directly from Apple. One 13 MacBook Air was purchased for each cart. The MacBook Airs had 128GB Flash Storage, 1.7GHz Dual-Core Intel Core i5, 4GB 1333MHz DDR3 SDRAM and an ethernet adaptor. To keep the MacBook Airs secure inside the cart we ordered a MacBook Air Lock and 2 Security bundle for each computer from maclocks.com. Each bundle comes with a plastic case and cover for the MacBook Air and a Kensington Security Lock. The PowerSync Cart comes with a mounting kit which allows you to secure the cart to a wall. We ordered two MasterLocks for each cart. One lock for the doors and one lock to fasten the cart to the wall. We also ordered Mesh bags from Amazon. We used these bags to store the chargers and cords for each ipad and hung them on the inside of the cart.
Set Up The Cart The set up of the carts was simple. We just wanted to make sure that everything was in place for the ipads and the MacBook Air and that everything was well organized. First we labelled each cart and MacBook Air. This way each MacAir and all the ipads would stay with their designated cart. the Command Hook to hang the bag containing the charge cords for easy access. We fed the security cables through the loops attached to the carts so the MacBook Airs would be secured inside the carts. Mounting To make sure that the ipad Carts were secure in each classroom we used the provided wall brackets and security cables to lock the carts to the wall. We first had to contact the appropriate Deans to make sure it was ok to mount the brackets to the wall. Once approval was received from each Dean we asked a faculty member to help us determine where on the wall each bracket should be placed. We wanted to make sure that the carts would not be in the way during class time. We also needed to make sure that the cart was near an outlet and data port so the ipads could be charged and updated. We then contacted facilities and put in a work order to have the brackets mounted to the wall. We met with facilities to show them the locations and then gave them the brackets. Once all of the brackets were in place in the classrooms we used the provided security cables and one of the MasterLocks to secure the carts to the wall. Inside each cart we placed a Command Hook on the left and a loop for the MacBook Air s security cable on the right. We used 3
Set Up The MacBook Air and itunes The ipads To setup the ipads you must first start with the computer and itunes. We sent the MacBooks to OIT to be configured to the network. We later decided that this might not be necessary because the computers will not be used for anything but syncing the ipads with itunes. Next we created an Apple ID specific for the Grant. This way Apps could be purchased once and shared with the other ipads. In itunes the check box for Check for new software updates automatically needs to be deselected. This option can be found in the itunes Preferences and the General tab. Once this was done it was time for the ipads. Each ipad needed to be individually connected to the designated MacBook and configured. When the ipad is connected two options need to be enabled under the Options in the ipads summary. Both the Open itunes when this ipad is connected and the Sync only checked songs and videos options should be checked. All other options should not be selected. We also labeled each ipad with a number sticker that was provided with the Bretford Cart. This way each ipad could be matched with its coinciding slot. Then each ipad was named to represent its cart number and ipad number (e.g. ipad 1:7). 4 Syncing We found that the easiest way to download apps onto the ipads was to first, download them onto the computer and then connect all the ipads to the cart at once. To sync the ipads they all must be plugged in to the cart. Then use the provided USB cord to plug the cart into the computer. Make sure that all applications on the computer are closed out. Plug in the cart and then turn it on. itunes should open automatically and all of the ipads should appear and start to sync. All new apps should sync to the ipads automatically but it is recommended to check under the Apps tab of each ipad to make sure the apps have loaded.
Policies and Procedures Policy and Procedures- Classroom ipad Carts Purpose This is to establish policies and procedures for all ipad carts that are for classroom use that were provided by the Title III (HSI) STEM Grant. Policy Property of HCC- The carts, ipads and MacBook Airs are all property of Hillsborough Community College. The carts and all of their contents are not to be removed from their designated rooms without authorization from the Technology Specialist of the Title III (HSI) STEM Grant. Inventory- Each cart is equipped with thirty (30) ipads, one (1) MacBook Air Computer and thirty (30) ipad chargers. The MacBook Air is secured in the cart and is not to be removed. Each cart is secured in a designated classroom. Using the Carts- Any faculty member that is participating in the Title III (HSI) STEM Grant is permitted to use the ipad carts during their class time. If a faculty member uses the cart they are responsible for ensuring that all of the contents are in the cart before it is locked back up. Procedure Property of HCC- When distributing the ipads to your students please make them aware that these ipads are the property of Hillsborough Community College. These ipads are meant only for use in the classroom and for classroom activities. The ipads are not to be removed from their designated classroom. If students login to any personal accounts they should logout before returning the ipad to the cart. The ipads will frequently be wiped clean so any downloaded or saved content will be removed. Inventory- If a faculty member decides to use the ipads during a class period that faculty member is responsible for the entire inventory in the cart during that time. If a faculty member notices any damage to the ipads or MacBook Air or if anything is missing they should contact the Technology Specialist of the Title III (HSI) STEM Grant immediately. All repairs or possible replacements of the ipads or MacBook Air will be handled by the Title III (HSI) STEM Grant staff. Using the Carts- The MacBook Air that is in the cart is only to be used for updating the ipads. The Technology Specialist of the Title III (HSI) STEM Grant is responsible for keeping the ipads up to date so faculty members do not need to use the MacBook Air. If a faculty member would like to have an App added to the ipads they will need to send the name of the App to the Technology Specialist at least a week prior to the date the App is to be used. Faculty members are responsible for setting up their own process for passing out, returning and checking the ipads.
