How to add a new truck **Please note, if your tag allotment is full you must deactivate an existing approved truck prior to adding a new truck. See how to deactivate a truck for instruction**. To add a new truck to your TLS fleet, click Register a Truck in the Trucks section of the TLS homepage. Read the instructions carefully before adding a new truck to your TLS fleet. Click Next to proceed. 2
Select your Licence Number from the drop down list and fill in all the truck details, click Next to proceed. To complete the truck registration process, select who the truck is legally and beneficially owned or leased by then click Submit Form. All truck registration requests require supporting insurance documents be submitted by email to tls@portmetrovancouver.com. Please note, prior to final approval of the truck, GPS and decal installation is required. 3
How to modify a truck To make changes to a truck on your TLS fleet, click Request a Truck Modification in the Trucks section of the TLS homepage. Select the truck for modification and fill in all modification details, click Submit Request. Please note in order to process truck modification requests, PMV requires insurance documents be submitted by email to tls@portmetrovancouver.com 4
How to deactivate a truck To request a truck deactivation click Request a Truck Deactivation in the Trucks section of the TLS homepage. Select the truck to be deactivated and fill in all deactivation details, click Submit Request to complete the deactivation process. 5
How to add a short-term replacement (STR) To add a Short Term Replacment to your TLS fleet click Register a Short-term Replacment (STR) in the Trucks section of the TLS homepage. Read the instructions carefully before adding a new truck to your TLS fleet, click Next to proceed. Select the Approved truck you are replacing and fill in all fields, click Submit Request. The Effective Date is the date the replacement is needed. The Requested Expiry Date is the duration of the STR request. If the rental date needs to be extended or reduced, complete an Update a Short-term Replacement (STR) form. 6
Port Metro Vancouver requires updated insurance documents for the short-term replacement truck be emailed to tls@portmetrovancouver.com. Please note prior to final approval of the truck, GPS and decal installation are required. 7
How to modify a short-term replacement To make changes to a short-term replacement truck click Update a Short-term Replacement (STR) in the Trucks section of the TLS homepage. Complete all fields, click Submit Request. 8
How to view truck registration requests To view a status of a truck registration request, click View My Truck Registrations in the Trucks section of the TLS homepage. Truck registration requests that are in review status will only appear on this list. To view a truck request that has been processed, select View My Approved Trucks. To view a specific truck click on truck s Licence Plate. 9
If the truck information entered is incorrect, the TLS Administrator will send you an email requesting you to update the truck details. The truck status will change from Review to Intake which will allow you to make appropriate corrections and resubmit the request. 10
To update the truck information click on the Licence Plate of the truck that is in an Intake status, click Edit. 11
Update the fields necessary, click Save The changes made will reflect on the truck detail page. If all information is correct click Submit to resubmit the truck application for review. 12
How to view approved trucks To view a list of all approved trucks on your fleet click View My Approved Trucks in the Trucks section of the homepage. To view details on a specific truck click the Licence Plate number. 13
How to view approved short-term replacements To view a list of approved short-term replacements click View My Approved Short-term Replacements in the Trucks section of the homepage. For more details on a truck including the expiry date click on the Licence Plate number of the specific truck. 14
How to view truck requests To view a list of all your submitted truck requests click View My Truck Requests in the Trucks section of the homepage. Here you can see a list of all your truck modification requests along with your deactivation requests. To view more details on a request click the Request Number. 15
Once a request has been processed it will remain on the truck requests list but the status will be closed. 16
How to add a company driver To add a company driver to your drivers list click Add a New Company Driver in the Port Passes section of the homepage. Enter the driver s first name, last name and port pass number click Submit to complete the request. 17
How to remove a port pass To remove a company driver from the drivers list click Remove a Company Driver in the Port Passes section of the homepage. Select the driver you want to remove from the drop down list, click Confirm Driver Removal to complete the request. 18
How to view a company drivers list To view a list of your company drivers click View My Drivers in the Port Passes section of the homepage. 19
How to view a list of sponsorships To view a list of your sponsored Owner Operators, click View My Sponsorships in the Port Passes section of the homepage. A list of sponsored owner operators will appear including the status of the sponsorship. 20
How to update your user profile To make changes to your user profile, click Profile and Edit. Once you have made the necessary changes click Save. How to change your TLS password To change your password click Change Password. Fill in the fields then click Save. 21
How to view the company profile To view trucking company information select Company Profile under the user s name. How to view TLS notifications To view TLS notifications, click the notification icon to the left of the user s name, click View All. To mark notifications as read, click on the check mark on the right of the notification message under Mark Read. 22
Status definitions: Approved is an active truck on a TLS fleet that is able to access Port property. Approved pending active date a truck that has been reviewed and pre-approved by the TLS Administrator but will not gain access to Port property until the active date. Deactivated is an inactive truck that has been removed or replaced and is no longer able to access Port property. Review a truck that has been submitted for review but not yet processed by the TLS Administrator. Intake a truck has been reviewed by the TLS Administrator, the information provided was incorrect and/or missing. Truck details need to be updated and the request must be resubmitted for review. 23
