STAGING You can stage your vehicle(s) in this lot starting on Friday. Please stage all vehicles (indoor and outdoor) in the area indicated in Green on the map. OUTDOOR VEHICLE MOVE-IN You will move your outdoor vehicle to the Pavilion area on Sunday, November 5 th between 8:00am and 1:00pm. You will be given a layout, please place your vehicle according to the layout provided. If in doubt, call Kristen Messineo at 310-779-4436 and she will come outside to assist. INDOOR VEHICLE TARGETED VEHICLE MOVE-IN All vehicles will move into the Wildwood Ballroom on Saturday, November 4, 2017 during a pre-assigned time. Vehicles will NOT be permitted to move in on Sunday, November 5, 2017 as the exhibit hall will already be set, the aisles are narrow and vehicles will not be able to reach their space if they miss their assigned window. IMPORTANT NOTE! The maximum vehicle height for this exhibit hall is 11 feet. Motorcoaches as tall as 11 6 may fit, but they must be able to lower their profile by releasing the air in the suspension system and removing roof accessories such as antennas. INDOOR VEHICLE FIRE MARSHALL INSPECTION Prior to driving your vehicle into the exhibit hall your fuel-levels will be verified against the requirements below. Make sure to get this information into the hands of your vehicle supplier. Once the vehicle arrives onsite it is time consuming and very difficult to drive off or siphon excess fuel. FUEL TANKS ARE TO BE 1/8 FULL OR LESS Once your vehicle is inside the exhibit hall, please verify against this checklist in preparation for fire marshal inspection. If you plan to leave your vehicle unattended you must leave the hood open and the driver door unlocked so the fire marshal can access your vehicle. Also, keep your keys at the booth. ALL vehicles must pass inspection in order for the exhibit hall to open, so don t be the one that holds up the opening! Motorized Vehicle Information & Inspection Checklist: Fuel tank must be 1/8 full Batteries must be disconnected at both leads Fuel filler caps must be locked or taped, gas caps must be locked Visqueen must be placed under the entire vehicle (including tires) unless on Shepard carpet or own flooring. Ignition keys must be removed. Propane tanks must be removed. Each vehicle must be equipped with its own fire extinguisher. Vehicles may not impede, obstruct or hinder ingress to or egress from the Center and/or the premises. Vehicles or equipment shall not be fueled or defueled on property. In preparation for inspection before the event, the hood (or access to battery compartment) is to be left open and the driver door unlocked when the vehicle is unattended. Vehicles cannot be removed during show hours. There is a mandatory MOTORIZED UNIT/VEHICLE SPOTTING FEE per vehicle round-trip. It must have been paid and arranged through Shepard Exposition Services
DRIVING YOUR VEHICLE(S) IN THE HALL Vehicle Spotting & Carpet Care All vehicles must be spotted into place by Shepard personnel until the vehicle is completely set and the engine is shut off and disconnected. This is to ensure that wheels are not turned while the vehicle is in place and that wheels are not placed on floor pockets. Shepard will be placing visqueen (plastic sheeting) to protect the ballroom carpet. This visqueen must remain under the entire vehicle (including tires) unless on Shepard carpet or your own flooring for the duration of the event. Shepard personnel will stop by to trim the plastic prior to show opening. Please note that the exhibit hall must be covered in visqueen prior to vehicles moving out of the exhibit hall and the return of empty containers. Please plan for this delay. Floor pockets The Wildwood Ballroom has electrical floor pockets approximately every 30 feet. Due to weight limits, you are not permitted to drive over the floor pockets or park your vehicle with the wheels directly on top of them. During move-in, the electrical floor pockets will be easy to locate and indicated by orange cones so that you can avoid them when driving in and placing your vehicle in your space for display. The cones will be placed again prior to vehicle move-out.
