To provide current PDFs of the CTC Trip Cost Calculation Sheet. To provide PDF examples of the way to use the CTC Trip Cost Calculation Sheet. Change Log: Issue Date: Sunday, 25 November, Longstanding error corrected in the treatment of vehicle depreciation. Details in tab "Excel Basis Calcs Petrol_201811" (Committee eyes only). Nominally, End-Of-Life depreciation is now ~ double that of the previous issue (but still way less than the AA value). 2 For simplicity, changed from having 2 CTC $/km rates (1 for up to 100km, & 1 for > 100km), to having a single CTC $/km rate (being an average of the former 2 rates). Distances are now rounded UP to whole units of 10km (previously was to nearest 5km), to make them simpler to use, and fairer for short trips to Banks Peninsula. All rounding is now UP - refer to the PDFs. 5 A "SIMPLE EXAMPLE: CTC - Trip Cost Sheet, Nov 2018" has been provided, to introduce users to the CTC Trip Cost Calculation Sheet of Nov This covers the simple situation. For other situations, refer to the following DETAILED Example. 6 A "DETAILED EXAMPLE: CTC - Trip Cost Sheet, Nov 2018" has been provided, to show users how to use the CTC Trip Cost Calculation Sheet of Nov This covers all likely permutations of situations. 3 SIMPLE EXAMPLE: CTC - Trip Cost Sheet, Nov Page 1 Let's say that people are going in 2 cars to Arthurs Pass DOC Visitor Centre from Z Carlton, CHCH. Step 1: I want to find the one-way distance. I could do this by setting a car trip meter at Z Carlton before we leave and recording the distance when I get to DOC Arthurs Pass. But I will save time on the trip by using Google Maps before I leave home. Google Maps says 19km. Note that we round the distance UP to the whole 10km, so this becomes 150km one way. Rounding up this way, especially for shorter distances such as to Banks Peninsula, is a vital tool in adequately recompensing drivers for taking cars up over passes and hills with increased fuel use. Step 2: Record the drivers, & their car engine sizes on the Trip List. Car 1 - Natasha takes a L (000cc) car. Car 2 - Brian takes a 2L (2000cc) car. Step : Determine the car cost for each car. Make sure that car costs favour car owners, as fuel prices may be higher than assumed in our rates, & any deficiency penalises them in a ratio of ~ :1 compared to benefits to a passenger. Step, ctd. Refer to the Car Cost tables for the one way distance on PAGE 2. The cost of 150km for any 2L car = $ 128 The cost of 150km for any > 2L car = $ 16 Step : Enter the car costs in cells (a1), (a2) in the top left table of PAGE 2. Then total in to cell (a), & copy this amount to the next table. Step 5: Determine the total number of people on the trip who will share in the cost of the trip. This is done once the trip has commenced & you know for sure who is on the trip. Count up the number of people in each car, & enter the values in cells (b1), (b2) in the top left table of PAGE 2. Then total them up, enter in cell (b), & copy this amount to the next table. Step 6: Calculate (c) $ Car Cost per person. $2/ people = $9.00. Round UP the value to whole $1 (not $5 or $10). In this example $9.00 rounds to $9 per person. Step : Leader to Collect Cash from all except drivers. Make a note on the trip list who has paid & who are drivers. Step 8: Assign excess or deficient funds to selected cars. There will often be up to $10 that is to be shared between all cars - leader discretion as to who gets it. In this example, there are zero extra funds. Step 9: Leader to Pay the drivers. This is a straight forward process, usually. Go to the top table on PAGE 2. (d#) $ Due to Driver = (a#) Individual Car Cost + any extra amounts - (c) $ Car Cost per person. Refer to the top table on PAGE 2 for details of the calculation. Tips. Leader to bring a screwtop plastic jar of spare coins for change. Passengers to bring change. Refer to the Detailed Example When You Have Any Of The Following: Drivers with work vehicles; drivers with zero cost vehicles; drivers with their partner in the car; the (c) $ Car Cost per person having to be rounded - the rounding produces extra funds that have to be re-distributed to the drivers. 5 DETAILED EXAMPLE: CTC - Trip Cost Sheet, Nov Page 1 Let's say that 1 people are going in cars to Nelson Lakes DOC Visitor Centre (Lake Rotoiti) from Z Carlton, CHCH. Step 1: I want to find the one-way distance. I could do this by setting a car trip meter at Z Carlton before we leave and recording the distance when I get to DOC Nelson Lakes. But I will save time on the trip by using Google Maps before I leave home. Google Maps says 50km. For the example, I will use 55km. Note that we round the distance UP to the whole 10km. Step 2: Record the drivers, & their car engine sizes on the Trip List. Car 1 - Natasha takes a L (000cc) car. Car 2 - Chris says "treat my 2.L car as a 2L (2000cc)". Car - Alan takes his work vehicle & says he just wants $20 total to cover a deluxe car wash. (No engine size needed). (Some drivers of work vehicles may say that they want up to 50% of the usual CTC rate for a vehicle of that size - you will need the engine size for that). Car - David takes his partner along in his 2L car. Step : Determine the car cost for each car. Make sure that car costs favour car owners, as fuel prices may be higher than assumed in our rates, & any deficiency penalises Step, ctd. Refer to the Car Cost tables for the one way distance on PAGE 2. The cost of 60km for any 2L car = $ 51 The cost of 00km for any 2L car = $ 255 The total cost for any 2L car for 60km = $ 06 The cost of 60km for any > 2L car = $ 58 The cost of 00km for any > 2L car = $ 291 The total cost for any > 2L car for 60km = $ 9 Note that the cost of Alan's car = $20 Step : Enter the car costs in cells (a1), (a2), (a), & (a) in the top left table of PAGE 2. Then total in to cell (a), & copy this amount to the next table. Step 5: Determine the total number of people on the trip who will share in the cost of the trip. This is done once the trip has commenced & you know for sure who is on the trip. Count up the number of people in each car, & enter the values in cells (b1), (b2), (b), & (b) in the top left table of PAGE 2. Alan's work car is a special case, so we deduct him from the total number of people sharing in the total car costs. After deducting Alan, we have a total of 1 people who will share in the car costs. Enter this amount into cell (b), and copy this amount across into the next table down. Step 6: Calculate (c) $ Car Cost per person. $981/1 people = $5.6. Round UP the value to whole $1 (not $5 or $10). In this example $5.6 rounds to $6 per person. Step : Leader to Collect Cash from all except drivers. Make a note on the trip list who has paid & who are drivers. Step 8: Assign excess or deficient funds to selected cars. There will often be up to $10 that is to be shared between all cars - leader discretion as to who gets it. In this example, $6 x 1 = $988. $988 - (a) $981 = $ extra. Divide the $ among cars (exclude Alan) = $+$2+$2. Step 9: Leader to Pay the drivers. This is a straight forward process, usually. Go to the top table on PAGE 2. (d#) $ Due to Driver = (a#) Individual Car Cost + any extra amounts - (c) $ Car Cost per person. For this example we have 2 cars that are unusual, Alan's & David's. For Alan's work car, we just give him $20 flat - no deduction. For David's car, we treat his partner as a driver as well - making a total deduction of 2 x (c) $ Car Cost per person.
