1 SUPPLY BULLETIN 06/10/2014 STOCK SUMMARY There are currently 6304 vehicles in PMC Free Release Stock There are 1730 vehicles available via VTS There are 1261 vehicles onsite with Dealers available for transfer TC21 Search in PMC Stock This MADAP report allows Dealers to view stock levels for all versions, models and options. The report can be used as a planning tool to determine what the opportunity versions are at any given time, and can also be used as a Customer facing tool, to show where vehicles are in the Distribution flow and to introduce lead time into the sales process. TC21 is found under Dealer Reports>> 2. Once the vehicle is ordered use the Ready Reckoner in conjunction with HTS date to calculate lead time. CAFs at status 5 and have been extracted by the factory to be built. Once the vehicle is ordered Dialog Availability Week should be used to calculate lead time to RDC. CAF has not yet been extracted by the factory for build. Limited Availability Good Availability Excellent Availability New Boxer Van Comment Vehicles in the Planned column in TC21 are currently October build. With a few exceptions noted above, if you can t see any vehicles in any columns in TC21, then they will be. We recommend that you therefore indicate a December handover to your customer and arrange to keep them updated as and when availability information becomes available. Remember, if there are CAFs showing in the Planned column these can be modified for colour, specification, and possibly engine, so ensure that you are checking availability dates 3 days after placing the order to calculate an accurate lead time.

2 LATEST UPDATES 03/10/2014 New - Delivery update Now that the peak period is over, our transport resource has reverted back to normal levels. Please bear this in mind when calling vehicles off for delivery and that there may be some small delays whilst the tail end of the peak with the month-end registrations are delivered.

3 VEHICLE ORDERING 08/08/2014 Reminder VTS Please don t forget to check VTS available vehicles before placing an order for a vehicle. There are currently more than vehicles available. Please note that currently 2008 Crossway & 3008 Crossway are currently excluded from VTS. 04/07/2014 Reminder Vehicles Available via VTS MSR We would like to remind Dealers that when a vehicle shows a Pink Yes on the Dealer Stock Report it is available for transfer but is onsite with the holding Dealer. This is regardless of the location that the vehicle shows in Dialog or on the Dealer Stock Report. When you select a vehicleon the VTS system in Dweb under the location it will show the Dealer code of where the vehicle is. It then takes you to the following page advising you of the MSR rules when you take an MSR vehicle: Reminder Bluetooth on Bipper Dealers are reminded that when ordering Bluetooth (DO01) on Bipper, option YL02 must also be specified. Reminder Change of Stereo on some Boxer versions Please be advised that, due to factory incompatibility, the standard fit DAB stereo will be replaced by an aftermarket stereo on the following Boxer Versions: 1- All 440 Chassis Cab, Floor Cab & Back to Back Cabs. 2- Other Floor Cabs where option HC07 (Tachograph) is selected. 3- Other Chassis Cab & Back to Back Cabs where options CA03, PF06 or PF07 are selected in conjunction with HC07 (Tachograph). In the case of 2 or 3 above, it is necessary for Dealers to select option RC29 in order to ensure that the vehicle is fitted with the pre-wiring required for the aftermarket stereo. The 440 versions referred to above will come with pre-wiring as standard.

4 GEFCO DELIVERY INFORMATION 19/09/2014 Reminder Delivery Update Due to continued lower call-off rates than forecast so far this month, we are anticipating a peak as we the approach the end of the month which will potentially impact delivery lead times. We have secured additional transport resource to support this but this resource & the additional peak transport will no longer be available after 30 th September. Please make use of the transport whilst we have it to ensure that lead times are not heavily affected at the beginning of October. Please ensure that you call-off your vehicles in a timely fashion, with the advice that dealers should call-off the vehicle two weeks before forecast handover date to allow time for delivery & PDI. 15/08/2014 Reminder Corby Corby is now being used as an RDC for Midlands based dealers. Please note this will increase your delivery lead time by a further 3 working days whilst we move the stock from other RDC. Please bear this in mind when calculating a delivery to Dealership in order to give your customer the correct delivery information. 20/06/2014Reminder Delivery Due dates in Dialog DJ01 screen - The dates given in this screen are unreliable and should not be used as previously advised. The GEFCO Advised Date should be used in conjunction with the standard lead times quoted above to forecast when the vehicle will arrive at the Dealership. RDC Status, Due in RDC & Date in RDC dates in Dialog DJ01 screen These dates are unreliable until the vehicle has arrived in the UK and should not be used. As an example, Calais and Zeebrugge are not RDCs and therefore the consignment process will not begin when the vehicle is at these locations and call offs will not be transmitted to GEFCO. Chasing Delivery with the Distribution Helpdesk - Dealers should not contact GEFCO directly with delivery queries as the RDC do not have a dedicated resource to deal with enquiries and therefore the responses you receive could be inconsistent and inefficiently handled. It is very difficult for GEFCO, and therefore the Distribution Helpdesk to give an exact day for delivery, even after the vehicle has been handed to a carrier, as the carrier has 3 days to deliver the vehicle and can schedule the delivery as they see fit within that lead time. Once a vehicle has exceeded the standard lead time for any section of the delivery process then the Distribution Helpdesk will be able to enquire whether there is an issue that needs to be resolved. 04/04/2014 Reminder Vehicle call offs From Monday 7 th April we will no longer be cancelling call offs with Gefco when a call off has been made in Dialog. Dealers will need to take extra care when calling a vehicle off for delivery in Dialog as not to end up with the wrong vehicle on site. Also from Monday 7 th April we shall no longer be re-directing vehicles once a call off has been made in Dialog. It will be the responsibility of the holding Dealer to advise the new Dealer when transferring the vehicle that a call off has been processed. If the vehicle is delivered to the old dealer then it will be the responsibility of both Dealers involved to come to an agreement to get the vehicle to the location it needs to go to.

5 DISTRIBUTION HELPDESK 15/08/2014 Reminder DWeb enquiries To ensure that all DWeb enquiries are dealt with as efficiently as possible (particularly during the September peak) please ensure that all members of your Sales Team are aware of the following: When an enquiry shows as Open it s because we are still working on it. When an enquiry shows as Closed you should then have a response. ALL Delivery enquiries, cancellation of orders, order enquiries, Authorised Transfers, combination code requests and VTS requests should be sent in via DWeb. All General Enquiries such as Suppressions, change of handover date (max of 5 per telephone call) and AFRL enquiries should be dealt with over the telephone. Please do not send duplicate enquiries and please do not telephone chasing your enquiry as this only delays the process.

6 AFRL & VEHICLE REGISTRATION 26/09/2014 Reminder - AFRL Changes - Abolition of Tax Discs Please be advised that the AFRL system will have minor updates applied on the evening of Tuesday 30th September. You will notice the following changes from Wednesday 1st October : DEC11 - The capture of insurance details will be optional for GB customers, but mandatory for NI customers DEC11 - The 'Tax Disc Destination' field is removed from the screen CRD - The document will no longer include the 'Tax disc destination' statement and the insurance statement has been revised. DEC12 - The DVLA status of the registration message has been moved up the screen to make it more visible. A user guide 'Quick Start Guide - AFRL Abolition of Tax Discs' has been made available in the DWebDIC in the AFRL / Changes 2014 / Tax Disc Changes section. This is a must read for all sales administrators who register vehicles. 19/09/2014 Reminder - Support Information - Tax Disc Changes The following DVLA leaflets have been published on the DWeb system: DVLA Leaflet Abolition and DVLA Leaflet - Non Transfer. 19/09/2014 Reminder - Support Information - Tax Disc Changes A document 'Key Facts - Tax Discs Changes.doc' has been published on the DWeb system. 19/09/2014 Reminder - Support Information - Tax Disc Changes A document 'Quick Start Guide -AFRL Abolition of Tax Discs.doc' has been published on the DWeb system. This document is an essential read for all sales administrators and explains the process / system changes to the AFRL application to accommodate the following changes: Optional Insurance details Capture for non NI customers and Abolition of tax discs. 05/09/2014 Reminder - Support Information - Tax Disc Changes Please note that a new section has been created in the DIC section of DWeb titled AFRL / Changes 2014 / Tax Disc Changes. Information relating to the forthcoming DVLA Tax Disc changes will be published here. We will use the Supply Bulletin to notify you when new information is published. You will currently find a series of FAQs published by the DVLA here. 01/09/2014 Reminder Tax Disc Changes You will be aware that from1st October 2014, the vehicle tax disc is being abolished. In the run up to this change, to avoidhaving surplus stock, DVLA is printing the last remaining discs in-house. This applies to discs issued by DVLA only, which includes vehicles registered via AFRL. These will start to be issued this week. The new disc is printed on different paper and doesn t have perforations. You or your customers will need to cut around the disc and put it in the windscreen of the vehicle to which it relates. This disc only needs to be displayed until Wednesday 1 st October It should then be removed. The Post Office will continue to use their existing stock.

7 AFRL & VEHICLE REGISTRATION 19/09/2014 Reminder DVLA Communication - Reminder of the correct process when carrying out a Personalised Registration (PR) application. Please find below, a communication from the DVLA relating to PR applications When completing a Personalised Registration application to remove, assign or transfer a registration number, the details on the application must be of the registered keeper or the individual/company applying to become the registered keeper. A number of applications received via the dealer postcode contain changes on the Vehicle Registration Certificate (V5C) from the registered keepers address to the dealers or leasing companies address. From the 22 nd September 2014 any V5C received as part of a PR application with a change of address from the registered keeper to that of the motor dealer or leasing company will not be processed with the motor dealer/leasing company details. A V5C should be issued to the registered keeper only, therefore the change of address will be omitted from the application. Arrangements will need to be made with the customer/keeper to obtain the V5C if the vehicle has been part exchanged. The Personalised Registration application will not be rejected, it will be processed and the V5C(s) or V778 will be sent out to the registered keeper. This is not a change to policy or the transfer and retention scheme. Considerations have been measured during this process and factors taken from the volumes of requests generated due to this action. This includes customers requesting amendments to the details held on DVLA records in order to receive a Retention Document (V778) and non-receipt of enforcement action to the customer. A further factor from the 1 st October 2014 will be the accurate issue of an automatic refund of vehicle tax to the customer. Please ensure from this date that applications are presented accurately and contain only that of the registered keeper s details.

8 AFRL & VEHICLE REGISTRATION 27/06/2014 Reminder Converted Vehicle Registrations - Changes to 'Base Vehicle' COC provision from 1st August 2014 Peugeot Motor Company have been working closely with the DVLA Policy team to find ways to simplify the registration process for converted vehicles and reduce the flow of unnecessary paperwork between the following: Base Vehicle Manufacturer <-> Vehicle Converter and Registering dealer <-> DVLA. Peugeot Motor Company in conjunction with the DVLA have revised the document requirements for registering a converted vehicle. The COC for the base vehicle is no longer required as a supporting document when an application to register a 'Converted Vehicle' is submitted to the DVLA (This is because the V55/1 application which accompanies a V55/4 application contains all the data required for a registration that would normally be found on the base vehicle COC). As a consequence, from the 1st August 2014, Peugeot Motor Company will no longer provide an original paper copy of the COC for the base vehicles. From this date, all base vehicle COC s will be provided as an electronic document in PDF format. Obviously, the original document will still be available upon request if required for exceptional circumstances. The 'V55/4 Converted Vehicle Registration Process document' has been updated to reflect these changes and published on Dweb. 23/05/2014 Reminder V55/1 - Recording Registered Keeper Details The AFRL system is the source system for gathering registered keeper details for vehicles. When completing an electronic AFRL registration, the registered keeper details are sent to the DVLA. This information is also sent to the SAGAI warranty system. It is important that SAGAI gets the correct registered keeper information because this information would be used to contact the registered keeper in the event a vehicle is subject to a safety critical recall campaign. Equally, when a vehicle is registered using a V55/1, although the DVLA get the registered keeper details from the V55/1 form, the information still needs to be recorded in AFRL, so that this information can be passed to SAGAI. Can Dealers please ensure that for V55/ 1 registrations, all the AFRL screens are populated with the relevant information that they would include for an electronic AFRL registration. 23/05/2014 Reminder Registering Pack Cars to Disabled Customers In response to the many enquiries the Helpdesk have received concerning the registration of pack cars to disabled customers. Please see below for information relating to the process that you must follow: In AFRL, the vehicle can be recorded as one type of registration, it is either a pack car and benefits from the pack car terms and is registered with the DVLA with a 'Standard Tax Class', or it is a car for a disabled customer and benefits from the standard Retail / Consumer offer available and registered with the DVLA with a 'Disabled Tax Class'. In order to register a vehicle with pack car terms to a disabled customer, the dealer must complete the registration using a V55/1. The 'Pack Car' fleet code should be used on the original customer screen (First AFRL screen) and a V55 requested. Send the V55 to the DVLA with evidence of the customer's disabled tax exempt status. On completion of the registration, declare the sale / registration in AFRL. Using this method will ensure that the vehicle is correctly 'AFRL coded' from the outset as a 'pack car' and no re-coding requests are required, the vehicle is also correctly recorded on the DVLA system as belonging to a disabled tax exempt customer. 16/05/2014 Reminder V55/4 Application Forms V55/4 application forms can be obtained from the following sources: For single forms, use the DVLA Form Ordering Service found at For bulk forms, send an to stores.order.forms@dvla.gsi.gov.uk, please state how many you require and where you want them to be sent. Please note the Distribution department do not hold a stock of these forms. It is recommended that dealers hold a small stock of V55/4 forms locally.

9 AFRL & VEHICLE REGISTRATION 09/05/2014 Reminder V55/1 - Declaration of Sale The Dealer network is reminded that when a vehicle is registered on a V55, the Dealer must update the AFRL system using the DEC3 transaction when the registration is complete. AFRL will not know the registration is complete unless the Dealer declares it. 09/05/2014 Reminder V55/1 - Registration Mark Accuracy We are still getting far too many incidents of Dealers not accurately declaring the registration marks in AFRL. AFRL is the source system for registration data, and as such supplies this data to other systems such as the Warranty system. Can you please ensure that registration marks are double checked before confirming them in AFRL.
