GLOSSARY OF TERMS Wrkshp Event (r Event) A prfessinal develpment cnference, spanning tw and a half days cnsisting f varius individual wrkshps. Wrkshp The individual subject sessins, making up a wrkshp event. All wrkshps are 15 hurs in duratin. Wrkshp Leader A highly experienced member f the IB Educatr Netwrk, cntracted t lead wrkshps. Field Representative A member f the IB Educatr Netwrk, cntracted t serve as the fficial, n-site IB representative, bserving wrkshps, and maintaining quality assurance. Cnference Crdinatr A member f IB staff, serving as the primary pint f cntact fr hst schls. The cnference crdinatr attends attend the wrkshp event, and may r may nt be accmpanied by ther IB staff. IB RESPONSIBILITIES Assign a cnference crdinatr fr the wrkshp event t liaise with the hst schl. Advertise the event n the IB events website. Manage registratins f event participants and cllectin f registratin fees. Apprve and pay the lunch and break invice(s). Cnfirm the fllwing infrmatin: Lcatin and number f wrkshp leaders fr transprt A list f equipment and materials required fr each wrkshp. A wrkshp schedule fr this event. List f participants per wrkshp Pay all wrkshp leader and field representative accmmdatins, fees, travel, transprtatin t and frm airprt, and ther expenses. HOST SCHOOL RESPONSIBILITIES Hst schls will be alltted tw free seats per wrkshp and nly be charged at cst fr fd and beverage, in exchange fr meeting the respnsibilities belw. Schl participants must be registered n later than 30 days prir t the event. Prvide the fllwing facilities and materials fr the duratin f the event: A centrally lcated infrmatin desk, staffed fr the duratin f the event t assist participants and wrkshp leaders. A large rm/space fr the pening plenary sessin, with a laptp, prjectr, (2) micrphnes and speakers, t accmmdate all participants, IB staff and wrkshp leaders. The rm shuld have blinds r curtains t darken the rm. Classrms t accmmdate: PYP wrkshps fr up t 36 participants. MYP/DP wrkshps fr up t 30 participants. There must be enugh space fr the tables t be mved int different grup settings. Pwer strips and extensin crds fr participant devices. An internet infrastructure that supprts cnnectin t the internet fr apprximately 200 participants at the same time. Page 4/11
Clearly identified refreshment areas, wrkshp classrms, and restrms. An ffice r classrm with internet cnnectin fr IB staff, within clse prximity t the wrkshp classrms. Wrkshp supplies: Cmputer speakers Prjectr r Smartbard fr PwerPint presentatins; Access t pwer utlets (via pwer strips) fr wrkshp participants; Flip-chart paper and felt pens f different clrs; Fur packs f Pst-its (7x7cm r similar); Additinal supplies fr PYP wrkshps nly: Six reams/blcks f white paper One pair f scissrs per participant Masking tape and/r drawing pins One ball f string per wrkshp One piece f clred cnstructin paper per participant One rll f masking tape per wrkshp Half liter glue fr every tw participants Newspapers (t cver tables) Accmmdatins fr MYP and DP Science wrkshps: Science wrkshps are typically split between a classrm, and a science lab with standard equipment/facilities; Supplies fr PYP, MYP and DP Visual Art wrkshps: Cnstructin paper Supprt staff: Ensure that the schl is pened 60 minutes prir t daily event schedule; Supprt staff will be respnsible fr clsing the schl after the daily event schedule; Schl will prvide a technician t supervise the equipment and prvide technical supprt t wrkshp leaders fr the duratin f the wrkshp event. Full name f participant; Schl name; Cuntry f residence. Materials fr the wrkshp leaders: The hst schl will create name badges fr each leader, t include: Name f the wrkshp s/he is leading; Full name f wrkshp leader. The hst schl agrees t phtcpy wrkbks and/r materials requested by IB: The cnference crdinatr will electrnically send the hst schl all wrkbks and materials three weeks prir t the event, with any specific printing requests; Size f wrkbks: All materials have been frmatted t Letter and A4 size. Please let yur cnference crdinatr knw which size is available in yur cuntry as sn as pssible. The IB wrld schl lg is the nly apprved IB lg that may be used fr this wrkshp event; In rder t discurage last-minute printing, all csts fr additinal, nsite printing requests will be assumed by the individual requesting them (ex. wrkshp leaders). Wrkshp schedule, meals and breaks Wrkshp events will cmmence with a 30-minute plenary sessin fr all participants; Every wrkshp will include fur 90-minute sessins the first tw days and tw the third day, with a break in between sessins: The hst schl agrees t wrk in cllabratin with the IB t rganize lunches and breaks during the wrkshps, taking the fllwing pints int accunt: The hst schl is t btain qutes using the prvided requirements and in cllabratin with the cnference crdinatr select a vendr fr catering the event. Assist with the cntracting prcess and n-ging cmmunicatin with caterer. The hst schl is t serve as the lcal cntact and rganize n-site lgistics with the selected catering vendr. The hst schl will assist in any final clse ut f the agreement with the catering vendr. Page 6/11
Transprtatin fr wrkshp leaders The hst schl will prvide rundtrip transprtatin fr the wrkshp leaders and field representatives between the leaders htel r hme and wrkshp venue. Wrkshp leaders and field representatives must arrive at the event venue prir t participants t set up fr their wrkshp. It is nt required fr the hst schl t prvide transprtatin fr participants. Emergency cntact: The hst schl must prvide IB Americas with the name and telephne number f a persn wh may be cntacted during an emergency. Hst schl security measures: The hst schl will ntify IB if the schl requires visitrs t have an ID card t enter the schl.
