Dean Heritage Centre Art Gallery/Exhibition Agreement Thank you for agreeing to exhibit your work at the Dean Heritage Centre art gallery. Purpose The Dean Heritage Museum Trust (DHMT), trading name Dean Heritage Centre (DHC), is an independently run charity, supported by donations and admission charges. Its purpose is to actively safeguard and improve education in the community. The art gallery is an important part of the provision at the Camp Mill site. It provides a facility for artists and crafts people to exhibit and sell their work to the Forest of Dean community, tourists and visitors. The DHC exhibits work by many local artists, but also feel that it is important to exhibit work from outside the district, providing new opportunities and stimulation to all who visit. The DHC does not charge rental to Owners/Artists exhibiting works for sale, (please see section regarding commission) however exhibitions for the purpose of publicity only (i.e. No artwork is on sale in the exhibition) will be charged a fee of 50 per week for showing of work on dates between March 1 st and October 31 st or a fee of 25 per week on dates falling between November 1 st and February 28 th or 29 th. This fee helps towards the upkeep of the space and publicity of exhibitions. If anyone wishes to contribute with a further donation this is always gratefully received. Artwork displayed as part of the community art show in March, but not for sale, will NOT be required to pay any rental. Exhibitions are offered as a six week block booking of the gallery. The art gallery has an area of approximately 18 metres. The walls are fitted with white painted Hessian boards, which are 1.2 metres high. It is advisable for the Owner/Artists to visit the gallery in the process of planning an exhibition.
Requirements All artwork must be securely framed and ready for hanging using mirror plates by the Owner/ Artist. Three-dimensional work should be securely sited on a level surface. Unframed textiles, hangings, etc. should be securely fixed to the walls. The Owner/Artist is required to provide a typed list of works included in the exhibition along with sale prices, prior to the exhibition opening. The Owner/Artist is required to supply a short written statement/biography about themselves and their work for use in publicity promotion and display. A Curriculum Vitae is also welcome. The Owner/Artist is also required to supply three good quality images of their work for use in publicity and promotion (One for the community art exhibition.) These are suitable as a photograph or digitally as JPEGs. These will be required at least six weeks before the exhibition is due to open. The installation, hanging and dismantling of work is the responsibility of the Owner/Artist. Assistance can be provided if requested in advance. The Owner/Artist will be held liable for any unreasonable damage to the art gallery space caused by hanging/removal of the exhibition. Please be aware of this and discuss the hanging of any heavy or unusually difficult pieces with Centre staff. The Owner/Artist will be responsible for the delivery (and all associated costs) of work to the DHC art gallery, and for collection or re-delivery to the Owner/Artist when the exhibition ends. The DHC will issue a written receipt whenever work is delivered by courier to or removed from the DHC art gallery to act as a record of location and condition of work, as well as of ownership. The Owner/Artist will provide a total value of the works for insurance purposes. Selection and Display The DHC retains editorial control and the final decision of work and material for display. The DHC reserves the right to exclude any item or material deemed unsuitable. Please do not include material of an unsuitable or offensive nature, and remain aware of the audiences visiting the DHC art gallery. The DHC retains the right of refusal if work contravenes health and safety policy. The DHC operates an equal opportunities policy. The Owner is responsible for the layout and hanging of the exhibition subject to the points above.
Works to be included The Owner/Artist will provide a full list of works to be exhibited at the DHC, including size, date, price and details of materials used. To be supplied prior to the opening date of the exhibition. (Attach list of works to this agreement) Credits and Moral rights The Owner/Artist will to be credited whenever any work is exhibited in public or an image of the work is published by or for the DHC. The DHC cannot guarantee a credit for works published by external parties. Commission The DHC takes 35% commission on all sales from the art gallery. Items related to your exhibition such as small sculptures or prints, can also be sold in the museum shop, 35% commission will also be taken on these sales. This charge contributes towards the sustainability of the art gallery. Sales are administered in the Centre shop. All purchasers must pay in full and collect the artwork at the end of the exhibition. Postage of artwork can sometimes be arranged but will incur an extra charge. If the Owner wishes for artwork to be available for removal by purchasers before the end of an exhibition, other artwork must be made available for display. The DHC will send payment (less the 35% commission) to the Owner after the exhibition end. Liability, Indemnity and Insurance The DHC shall not be liable for any loss or damage caused by any event or circumstance beyond its reasonable control (such as extreme weather conditions, the actions of third parties not employed by it or any defect in any part of a customer s artwork or sculpture); this extends to loss or damage to any artwork, sculpture, equipment or other goods left with it for display or storage purposes, and harm to persons entering the Premises and/or using any facilities. The DHC shall take all reasonable steps to maintain security at the Camp Mill premises, and to maintain the facilities at the premises. Subject to this, and in the absence of negligence or breach of duty on the
part of the DHC, any artwork, sculpture, equipment or other goods are left with the DHC at the Owner s own risk and Owners should ensure that they have appropriate insurance against all relevant risks. Owners may themselves be liable for any loss or damage caused by them, their artwork, sculptures or their equipment and they shall be obliged to maintain adequate insurance including third party liability cover for not less than 5,000,000, and, where appropriate, Employers Liability cover to at least the statutory minimum. The Owner shall be obliged to produce evidence to the DHC of such insurance within 7 days of being requested to do so by the DHC. Artwork displayed in the art gallery is covered by DHC s All Risk Insurance Policy, up to a maximum value of 30,000. Opening and Security The DHC art gallery is currently located inside the charged area of the Centre, allowing only paying visitors access to the exhibitions. The Centre is open to visitors from 10am until 5pm, British Summer Time, and 10am until 4pm, British Winter. The art gallery is unsupervised and unstaffed during opening hours. It is routinely checked throughout the day by members of staff. The DHC is happy for the Owner/Artist to man the gallery themselves as this can promote sales and interest. The DHC will notify the Owner/Artist immediately of any loss, deterioration or damage to their work, to allow opportunity for necessary action or repair. If the work is made of non-durable materials, or if change and decay are features of the work, the DHC shall not be obliged to prevent deterioration. The museum and art gallery are protected by a security alarm (during hours when the museum is closed to the public) and a fire alarm system.
Preview evening and publicity Dean Heritage Centre Exhibitors are welcome to arrange preview / opening evenings of an exhibition, this can be arranged with the help of centre staff where needed but are solely the responsibility of the exhibitor. DHC staff will be present at the opening, but the Owner/Artist will be asked to provide refreshments and to help tidy up after the event. The DHC is in the process of setting up an art gallery mailing list, preview invites and publicity will be sent to this list, and also included in the member s newsletter and supplied to the Friends of The Dean Heritage Centre. The Owner/Artist will be responsible for mailing and distributing preview invites to their list of contacts. The DHC is permitted to reproduce images of the Owner s/artist s work only for the following; exhibition publicity, posters, invitations and press, archive records educational and private study. The Owner/Artist retains copyright of all images. Modifications Any changes to the DHC Art Gallery/Exhibition agreement must be requested prior to the exhibition start date and be in writing, signed by both parties.
