Tip 1- Obtaining a Repair Authorization Helpful Claim Coding Tips When calling the Subaru Claims Helpline to obtain any repair authorization you must have the following information ready before calling. Please be prepared to answer basic questions regarding the vehicle breakdown and repair. Your Retailer number. Repair Order number. Vehicle Identification Number (VIN). Vehicle mileage. Tip 2- Car Rental Reimbursement Amount Customers name. A complete estimate of the total repair cost parts and labor. Repair labor operations and failure code. An increase in the reimbursement amount has been put into effect for third party rental vehicles. An example of a third-party rental would be Hertz, Avis, Enterprise, Thrifty, etc. Car rental applies to vehicles which are covered by the ATP for the duration of the Basic New Car Limited Warranty, Powertrain Limited Warranty and Recalls only. Added Security rental remains the same at $40.00 per day for a maximum of 5 days. Daily Rate $40 per day: SOA will contribute up to $40.00 per day toward a SSLP rental vehicle. This amount is entered in the Rental field of the claim. Daily Rate $50 per day: Third party rental vehicles will be reimbursed up to $50.00 per day. This amount is entered in the Sublet field of the claim. Tip 3- List of Warranty Extension Repairs If you are looking for a complete list and explanation of Warranty Extensions refer to Section 8.2.8 in the Warranty Claims Policy and Procedures manual. 8.2.8.1. Subaru Technical Information System (STIS) to locate all Technical Service Bulletins and Recall bulletins. Vehicle Coverage Inquiry- to determine if a vehicle has active Warranty coverage, Added Security coverage or an open Recall. Tip 5- Claim Entry Information Before entering any claim, confirm that you are using the correct VIN number, repair order number, vehicle mileage and claim type. Tip 6- Added Security Claim Entry Information When performing an Added Security repair confirm that the current vehicle owner is the owner of the existing SAS contract that is listed in the Vehicle Inquiry. The SAS contract is not valid if it belongs to the previous owner. When submitting the claim remember to use the spelling of the customers last name as it appears in the system. Tip 7- Transmission Claim Entry Information When replacing a new or remanufactured transmission you must follow the proper transmission flushing procedure. The correct part number for the transmission flush must be used and be charged out on the claim. If not, the claim will be subject to a Rejection or Debit. Refer to the Fluids and Adhesives Section 13.9 in the Claims Policies and Procedures Manual for the correct part number. Tip 8- Repair Authorizations It is important to use the correct authorization code with the correct claim type. The third character of an authorization is always a letter. That letter will identify which of the claim types the authorization can be used on. **A*** Condition reported prior to expired warranty coverage. **S*** Special Circumstance- Claim type WC/PW/RC Claim type: WC/PW/SA **H*** Tire replacement w/alignment Claim type WC **P*** Claim type PA Tip 9- Audio Claim Coding When coding an audio claim use the exchange number for the manufacturer of the audio unit. Reminder: New Miscellaneous Detail Field Requirements Currently, all claims require data entry into the Misc. Detail field for battery replacement, remanufactured transmissions and short blocks, audio exchanges and VOR freight reimbursement.
