Terms and Conditions Appendix E 2018 Pre-inspect your venue and catalogue any damage you find in writing and in photographs. In the event of serious damage, please contact the Traffic Authority s permits administrator. The venue should be designed in such a way as to ensure accessibility to persons with mobility or orientation impairments. Passages for pedestrians must be at least 1.5 m wide. If the event involves major disruption, for example if it covers a large area, impedes pedestrians or vehicular traffic, or involves loud or prolonged noise, it is the duty of the permit holder to inform residents, companies and other parties in the immediate area well in advance. Street doors, shop entrances, garages etc. must not be blocked. Streets, walkways and park areas may only be closed if it is stated in the City s opinion. No damage may be caused to paved surfaces, green areas, the City s facilities or street furniture. Street furniture such as park benches, litter bins and traffic signs may not be moved or removed unless stated in the City s opinion.

Advertising, for example banners or temporary signs, is not permitted beyond that which is stated in the Traffic Administration s opinion. Sales may not be conducted within the leased area unless stated in the City s opinion. Entrance fees may not be charged unless stated in the City s opinion. The designated organiser, as indicated by name and phone number in the police permit, must be available for the duration of the permit s validity. Emergency vehicles and ambulance services must not be obstructed but must be provided with the nearest accessible route. Fire hydrants, drains, manholes, shut-off valves, electrical cabinets, parking metres, public lighting, traffic lights and road signs must not be blocked, covered or obscured. Cords and cables that cross walkways and roadways must be suspended sat a free height of 3 m above walkways and bicycle lanes and at least 4.6 m above roadways. Lines, cables etc. may not be attached to trees, street lights, signposts etc. unless stated in the City s opinion. Liquids may not be poured into tree pits or drains. No outdoor candles or candles are permitted on the City s land. The permit holder is responsible for cleaning and for winter road maintenance within the leased area and within its affected surroundings. Cleaning and snow removal and/or de-icing must be carried out without delay. Maintenance of the venue area also includes removal of graffiti and fly-posters. The permit holder must provide its own waste containers. The City's existing litter bins may not be used in conjunction with events. Grassy surfaces, park roads and squares may not be used for transportation to and from the designated venue without a valid delivery dispensation. Trees and other vegetation must not be damaged and must be protected. No materials, heavy duty equipment or motor vehicles may enter or be driven in the tree root zone, which corresponds to the circumference of the tree crown. Vehicles that are not specifically stated in the Traffic Administration s opinion must be driven and parked in accordance with existing traffic regulations.

Once the event is finished, the venue and its surroundings must be left clean and tidy, and free of devices. Waste material may not be left in or near the City s litter bins, but must be collected and removed at the expense of the permit holder see heading Event waste. In the event that cleaning or restoration carried out by the permit holder fails to meet the City s approved standards, this may be carried out by the City at the expense of the permit holder. Please note that high pressure jetting may not be used as a cleaning method unless stated in the City s opinion. The Traffic Administration does not provide electricity. Only authorised electricians may perform electrical installations. If you need access to water for a temporary period, you can contact Stockholm Vatten och Avfall (Stockholm Water and Waste) and hire a fire hydrant metre. You can rent a meter for a short or a longer period. Bear in mind that, as the organiser, you are responsible for water quality and for ensuring that the rules of use are complied with. Waste that is generated when serving food and beverages in a festival area or other event is classed as comparable domestic waste and collected by Stockholm Vatten och Avfall (Stockholm Water and Waste). If you wish to cancel your event completely, your permit must be cancelled before it comes into force. Permit cancellations should be submitted to the police Permits and Licences Unit: Address: Polisen Rättsavdelningen Stockholm Förvaltningsrätt 3 106 75 STOCKHOLM E-mail: registrator.stockholm@polisen.se The provisions of the Swedish Land Code regarding security of tenure do not apply to lettings in accordance with Chapter 3, Section 1 of the Public Order Act. For this reason, the permit holder is not entitled to compensation if the permit is cancelled or if a renewed permit is not granted. It may be necessary to carry out emergency work where you have set up your venue. This may concern underground conduits or the Traffic Administration may require the area for snow dumping during extreme weather. If this disrupts your event, you do not need to pay a fee for the period that the work takes place. You are not entitled to compensation or damages for cancelled events. The permit holder is liable under the Tort Liability Act for damage to land and property or damage to third parties that is intentional or negligent. The permit holder is responsible for all damage to third parties that results from non-compliance with the specified conditions. The City is not bound to assume any costs incurred in connection with the letting. If vehicles not mentioned in the permit need to be used, dispensation must be applied for from the Public Event Permits Unit of the Traffic Administration at: event.tk@stockholm.se

The permit holder is responsible for obtaining all other permits required for the realisation of the event. Anyone who makes use of the City s public spaces is required to have knowledge of applicable laws and regulations.
