A hosting solution that is flexible and fitted Case Study Vodafone Cloud and Hosting delivers flexibility and reliability to wholesale company Keller & Kalmbach. The future is exciting.

The cloud that keeps business running Founded in 1878, Keller & Kalmbach, with its 800 employees, is a leading wholesale company, selling industrial tools, hardware, joining and fastening technologies. However, the business offering goes far beyond pure wholesale. Whenever major manufacturers or trade partners encounter the risk of running out of industrial parts, the company automatically ensures the replenishment of supplies through innovative, tailor-made systems for the procurement, storage, provision and distribution of industrial parts. Over 80,000 items are on offer from Keller & Kalmbach, more than 750,000 parts can be delivered, and, with elogistics, the business also offers an intelligent, IT-based solution for automated merchandise management. Innovative IT systems are the foundation for such a state-of-theart logistics service. Sixty percent of our orders come to us electronically, says Dr. Gregor Gerhard, head of Keller & Kalmbach s IT infrastructure. And our warehouse in Hilpoltstein is fully automatic, making it crucial for the IT to run smoothly. Yet when reliability, scalability and flexibility concerns threatened the company s running and growth, it became apparent that they needed external support for their IT infrastructure. Which was when Vodafone stepped in. 2

A power failure in Hilpoltstein provided a wake-up call In the past, the already virtualised IT infrastructure in Keller & Kalmbach s central Hilpoltstein warehouse was spread over two server rooms. But there was no satisfactory solution in place (such as diesel generators), should a power failure occur. Meaning that the business might struggle to meet requirements around availability and disaster recovery. Keller & Kalmbach became aware of the need for preventive measures when the possible became the inevitable and an electricity outage hit Hilpoltstein lasting for over half an hour. The company s UPS (Uninterruptible Power Supply) was able to the bridge the outage. However, according to Dr. Gerhard, if [the outage] had lasted longer, our IT systems would have been without power. At the same time, the company found itself wondering how IT resources would support steady growth in a flexible way. With existing demands unable to be satisfactorily met with the usual cyclical investments, Keller & Kalmbach began to look at whether outsourcing IT infrastructure could save money. With a direct comparison of costs showing that outsourcing IT to a professional partner was cheaper than trying to scale the business internally, Keller & Kalmbach decided to place their IT infrastructure in a managed hosting solution from a large cloud provider. With one big requirement: the partner needed to be in Germany and had to ensure that data would be treated according to the German data protection regulations. 3

Finding the most flexible service provider In the cloud and managed hosting selection process, it very quickly became clear that the major providers differed little in terms of performance and up-time guarantees. What Keller & Kalmbach needed, however, was a great deal of flexibility. As Dr. Gerhard explains: We are not a big corporate company with highly standardised processes, but operate many specialised systems. We therefore needed a partner who could flexibly support us in the implementation of these systems in the data centre. Vodafone was the only vendor who could offer the desired level of flexibility. This flexibility was first demonstrated in the transfer of Keller & Kalmbach s performanceintensive merchandise management system to the new Vodafone data centre. In order for this system to run properly, it is not enough to only install it on a fast server, according to Dr. Gerhard. You also have to make a lot of minor adjustments and configuration changes. With Vodafone, we were able to test and adapt the system in detail. Others would have provided us with a standard system without taking our individual needs into account. Because Keller & Kalmbach already used the Vodafone s MPLS (Multiprotocol Label Switching) network, there was a problemfree transfer to the data centre, since all required interfaces were already present. Though, perhaps more significantly, with Vodafone the company found a partner who could provide various services from a single source with a dedicated contact person and uncomplicated access. Cooperative collaboration around the clock During the implementation of the managed hosting project, the collaboration between Keller & Kalmbach and Vodafone was hugely successful. The Vodafone employees were very flexible, says Dr. Gerhard. Together we were able to work out a solution that fitted our needs in a tailor-made way. After extensive tests, the actual transfer of Keller & Kalmbach s IT took place on three consecutive weekends, which involved dividing the infrastructure into different network partitions. On the first weekend, the non-mission-critical systems were migrated, with the more important systems brought over on the final weekend. Vodafone provided intensive support during this delicate phase and were ready to help Keller & Kalmbach s IT team whenever necessary. However, in the end, the move went without disruption to the extent that the employees of Keller & Kalmbach did not even notice that the transfer happened. And, within one year, the project was completed, including project planning, test projects and the migration from the former server rooms in Hilpoltstein to the Vodafone data centres in Frankfurt. The almost 200 virtualised servers of Keller & Kalmbach s IT department are now operated on seven dedicated blade servers in the Vodafone data centre. Depending on the performance requirements, the data is distributed to four different storage categories. All of these are extremely reliable, housed in a Vodafone data centre that is certified according to ISO 27001 and 9001. This offers the highest standards in the commercial sector, with Tier3+ security classification and an uninterruptible power supply that can bypass electricity outages for up to 72 hours. With Vodafone we were able to work out a solution that fitted our needs in a tailor-made way. 5

Greater flexibility and reliability for the future The hosting of Keller & Kalmbach IT at Vodafone is managed, which means that Vodafone monitors the operation and performance of the hardware used and organises necessary exchanges without interruption. In addition, Vodafone keeps the systems up-to-date and installs the latest patches and updates. Managed hosting by Vodafone has created numerous advantages for Keller & Kalmbach, with greater flexibility being the most notable, explains Dr. Gerhard: When we needed more memory in the past our SAN (Storage Area Network) had to be extended. Always in relatively large increments and with investments in the six figure range. Today we only have to order the appropriate capacity from Vodafone, and four hours later we can use the memory, and we pay only for what we use. At the same time, the availability of IT has increased in general. Power outages, for example, are not such a big threat because of the hosting in a state-ofthe-art data centre. Meanwhile, Keller & Kalmbach is staying on the safe side with their compliance requirements because the Vodafone data centres are located in Frankfurt and therefore within the German jurisdiction (with all the certificates that confirm its secure IT operation). The relocation of our IT to a managed hosting arrangement with Vodafone was completed successfully. As a result, we have been able to increase our reliability and our flexibility significantly, and we are now able to react faster to new requirements, Dr. Gerhard says. With secure, reliable IT that can be scaled easily according to requirements without slowdown by a lengthy acquisition and installation process, Keller & Kalmbach are a great example of a truly agile business.
