Celebrate St. Peters Community Festival September 14 & 15, 2018 Vendor Information Join the festivities as we Celebrate St. Peters with music, entertainment, carnival rides, games, food, fireworks, kids activities and much more! The celebration will be held at 370 Lakeside Park on Friday, September 14 th from 5:00 p.m.-10:30 p.m. and Saturday, September 15 th from 11:00 a.m.-10:30 p.m. Lakeside Park is conveniently located off Highway 370, just north of Highway 70. Premium Sites Sold Out PREMIUM SITES FOR FOOD VENDORS A limited number of premium sites are available next to the Main Stage for food vendors. The premium site vendors returning from 2017 have first priority of these sites. There are five sites on pavement that are approximately 17 x 16. There will be electricity available at these; one outlet of 20 amp power per site. There are two 30 amp sites that will be available on a first come basis. VENDOR SITES Paved vendor sites are approximately 15 x 15 and grass vendor sites are approximately 10 x 10. Vendor is responsible for providing tents, tables, chairs, lighting, extension cords, fans and any other equipment that may be needed. Sites that include electric will have one outlet with 110 volt power. Vendors may not exceed the power limits of their site. Lighting must be fluorescent or LED lights and each vendor is responsible for supplying their own multi-plug power strip, surge protectors, and extension cords. Some sites with electricity may be powered by generators provided by the City. The City reserves the right to limit the number of booths selling similar products or services. The following items may not be displayed or sold: weapons (including guns & knives), animals, alcoholic beverages, drug paraphernalia, silly string, colored hair spray, snap n pops, water guns, projectile shooting toys, sexually explicit or offensive items, or any other item the City deems inappropriate for the event. The City reserves the right to have inappropriate merchandise or displays removed. All food sales require a City of St. Peters Food Service License and must comply with all food safety regulations. Vendors selling food will be inspected by the City s Health Department. The City reserves the right to limit food booths selling similar products. The City encourages the use of recyclable containers such as paper or plastic. Discharging of waste water on the ground or in the lake is strictly prohibited. A free drop off for cooking oil and gray water will be available on site as well as cardboard recycling. A designated fire proof container will be provided for ashes. Alcoholic beverages; beer, wine & wine coolers, will be sold exclusively by the City. Glass bottles are not allowed in the park. Missouri Department of Revenue regulations require that all vendors making retail sales obtain a Missouri Sales Tax Identification Number. Applications will not be accepted without a Missouri Sales Tax Identification Number or proof of exemption status.

GAME BOOTHS Non-profit organizations are invited to set up a game booth as a fundraiser. Game sites are approximately 15 x 15 on grass. Each organization is responsible for providing a game and prizes. Description of the game must be submitted on application and approved in advance. In the best interest of all organizations participating, the City will limit the number of similar games allowed. Games of chance, raffles and dunking booths are not allowed. Games may not use real weapons; including but not limited to: guns, crossbows, bow and arrows, etc. Each group is responsible for providing tents, tables, chairs, game, prizes, and any other equipment that may be needed. Electric is not available at game sites but vendors can bring generators if approved in advance (see generator rules). The following items may not be used as prizes: weapons (including guns & knives), anything made of glass or mirrors, live animals, alcoholic beverages, drug paraphernalia, silly string, colored hair spray, snap n pops, water guns, projectile shooting toys, sexually explicit or offensive items. The City reserves the right to prohibit questionable prizes. A limited number of inflatable bounce houses, slides or obstacle courses will be allowed. Inflatable play equipment will be located in a grassy area adjacent to the vendors. Inflatable play equipment must be provided by a company on the Approved Provider List and a generator is required. Each organization will determine the fee they will charge to play their game. Carnival tickets may not be accepted as payment at the game booths. VENDOR FEES FOR THE TWO DAY EVENT ARE: PREMIUM FOOD VENDOR SITES $ 200 PAVED SITE WITH ELECTRIC $ 175 FOR PROFIT $ 100 NON PROFIT GRASS SITE - WITH ELECTRIC $ 75 FOR PROFIT $ 50 NON PROFIT GRASS SITE - NO ELECTRIC $ 50 FOR PROFIT $ 25 NON PROFIT

IMPORTANT INFORMATION Rules and Regulations APPLICATION DEADLINE/ APPROVAL Completed applications must be received by August 17, 2018. Applicants will be notified by email of approval or denial. Fees will be refunded if application is denied. Completed application and payment should be returned to: Celebrate St. Peters, P.O. Box 9, St. Peters, Missouri 63376 BEVERAGE SALES Vendors may sell soft drinks, water, lemonade, tea, etc. There are no requirements for which brand of soft drink is sold (i.e., Pepsi or Coke Products). Alcoholic beverages (beer, wine & wine coolers), will be sold exclusively by the City. Remember, glass bottles are not allowed in the park. A City Food Service license may be required if serving beverages. CLEAN-UP All booth sites must be removed from the park by Sunday, September 16 th at noon. Sites must be left in original condition, clean and free of trash. Sites requiring cleaning after the event may result in a $100 cleaning assessment and the vendor may not be allowed to return for future events. Vendors using cooking oil should take extra precautions to keep oil off of ground. ELECTRIC SERVICE All sites that have electrical power provided by the City will have one outlet with 110 volt power. A limited number of sites with a 30 amp 110 volt outlet are available on a first come basis. Each vendor should bring their own multi-plug power strip, surge protector and heavy duty 3-wire grounded 12 gauge extension cords. The City reserves the right to prohibit the use of cords in poor condition or any electrical use deemed unsafe. The City assumes no liability for damage caused by power surges. Vendor cannot exceed the power capacity provided for their site. Vendors requiring additional power should bring a generator (see generator rules). FIRE SAFETY Vendors using tents and/or trailers are required to provide fire extinguishers on site and accessible at all times. The size extinguisher required is: Cooking tents require 2A 10 lb. BC fire extinguisher Non-cooking tents smaller than 20 X 40 require 2A 5 lb. BC fire extinguisher Non-cooking tents 20 X 40 or larger require 2A 10 lb. BC fire extinguisher GENERATORS Use of personal generators must be in good condition and approved in advance. Generator engines vibrate and make noise. If the noise of your generator is excessively loud, you will not be allowed to operate it while the event is open to the public. Sites approved to bring their own generators will receive specific rules and regulations regarding use of generators upon approval. HOURS OF OPERATION FOR VENDORS Vendor sites must remain open from 5pm-10:30pm on Friday; and 11am-10:30pm on Saturday. NON-PROFIT ORGANIZATIONS Non-profit organizations must provide official proof of non-profit status. OVERNIGHT STAYS / SECURITY RV and Tent Camping are available at Lakeside Park; however, overnight sleeping at vendor sites will not allowed without advanced approval. Lakeside Park has 24-hour on site security.

PARKING Vendors who register before May 1 st will receive one free reserved parking pass. Shuttle service from general parking areas will begin one hour prior to the start of the event and remain operational until one hour after the event. Additional reserved parking passes may be purchased at City Hall prior to the event (parking passes are not sold at the event). PAYMENT Full payment must be submitted with application. If sites fill or application is denied, payment will be returned. The City charges a $25 fee for any NSF Checks. Proof of non-profit status is required to qualify for non-profit fees. Applications will not be considered if payment is not provided at time of submittal. Checks should be made payable to: City of St. Peters. PETS Pets are not allowed on the festival grounds during Celebrate St. Peters. This includes vendor set-up and take down times. This does not apply to service animals. REFUNDS Refund will be given if the entire event is cancelled. There will be a $25 cancellation fee if a vendor must drop out of the festival after registering. Cancellation requests must be in writing and will not be accepted after August 17, 2018. There are no refunds for inclement weather. The City of St. Peters assumes no liability for potential loss of revenue if the park is closed due to an act of nature. SALES TAX The Missouri Department of Revenue requires all vendors to have their own Missouri Tax Identification number if they make sales at retail; unless vendor qualifies for exemption status. If needed, vendors should contact the Missouri Department of Revenue (573-751-3505) to obtain a sales tax license. Applications will not be accepted without a Missouri Tax Identification Number or proof of exemption status. SET-UP/BREAK-DOWN Set-up: vendor sites will be available on Friday and Saturday beginning at 7am. DUE TO LIMITED SPACE, EACH VENDOR SITE IS ONLY ALLOWED TO HAVE ONE VEHICLE AT A TIME AT THEIR SITE FOR LOADING/UNLOADING. All vehicles must be removed from the vendor area one hour before the event opens-no EXCEPTIONS. All parking spaces in the vendor area will be used. Do not leave a vehicle unattended or block another vendor s site! Break-down: Vehicle access will be permitted at booth sites one hour after closing (or when law enforcement officials deem it is safe). Break-down on Saturday night may begin after the event is over and continue throughout the night if it can be done without disrupting the near-by campers. Any vendor who is exceeding an acceptable noise level will be required to discontinue their breakdown efforts until after 7:00 a.m. Sunday morning. SITES Subleasing of booth sites is not allowed. Booths must set up in the designated space and roaming is not allowed.

TENTS Wind at Lakeside Park can be strong at times. All tents and coverings must be properly secured with counter weights or stakes. Single or combined tents of 400 sq. feet or larger must be fire retardant to NFPA 701. All tents must have a minimum of two clear and distinct exits not blocked by tables, chairs or merchandise. Stakes may not be used on the asphalt and alternative measures should be taken to secure tents. Stakes no longer than 12 inches are allowed on grass sites but guy-wires must be highly visible. All tents and coverings are subject to an inspection prior to opening TRAILERS A limited number of sites are available for trailers. Applications will be accepted on a first come first served basis. Size of trailer may be restricted. Trailers must be on their vendor site no later than 1 p.m. on Friday, September 14 th. WATER Water spigots are available at the marina and adjacent pavilion.
