1 RENTAL EQUIPMENT A CUSTOMER GUIDE TO FAIR WEAR & TEAR AND DAMAGE Dear customer! We are honoured that you have chosen our Toyota counterbalance truck / BT warehouse equipment for your operations. A brand new truck is delivered for rent to your company by Toyota Material Handling Baltic and will be serviced under Full service conditions according to your individual rental contract. We are aware that during the heavy duty operations the truck will experience wearand tear, and at the end of rental period will have traces of its use. Nevertheless at the end of the rental contract, in accordance with its conditions, the truck should be returned in a condition reflecting a fair wear and tear and without excessive damage or traces of improper use. This guide provides transparent guidelines to ensure the acceptable condition of truck is understood by all parties in an equal manner. 2 What is fair wear and tear? Fair wear and tear reflects the condition of the truck resulting from normal use and operation. It does not reflect any deterioration in the condition of the truck resulting from damage (accidental or intentional), negligence or improper use. This guide is intended to provide clarity on what is regarded as acceptable wear and tear and what is defined as unacceptable or damage. This is intended to provide a framework for open and fair discussion in the event that at end of contract charges for recondition become necessary due to the return condition of the truck. Insurance All rental trucks belongig to Toyota Material Handling Baltic have KASKO insurance. Please study in detail the conditions of your individual rental contract to correctly and timely apply for insurance coverage in all relevant cases of truck damage, to avoid being charged in full for the repair costs upon truck return. Protecting a Truck To reduce wear and minimise mechnanical failure, regular maintenance by the operator, as prescribed in the Operators manual, must be carried out by the customer, and Toyota Material Handling Baltic Service must be informed immediately in case of reaching a scheduled regular maintenance interval and/or any damage, malfunction or accident should have occured with the truck. How to use this guide An electronic version is available on our websites / / respectively. Herein you will find comparative photographs and where necessary, additional descriptions to demonstrate what is considered acceptable wear and tear and what is considered unacceptable damage. Images marked with a green tick show examples of acceptable wear and tear and any reconditioning costs are the responsibility of Toyota Material Handling Baltic. Images marked with a cross show examples of unacceptable damage where repair costs or compensation are the responsibility of the customer. Page 2 of 9
3 In addition to fair wear and tear the following is also applicable. Documentation The Operators manual and any other documents and certificates relating to the equipment are the responsibility of the user and must be intact and available. All documents must be in the truck on its return to Toyota Material Handling Baltic. Appearance Regular cleaning of both the interior and exterior of the truck is required. The truck should be returned in a suitably clean condition to allow proper inspection of the paint, body and interior. It is the responsibility of the customer to ensure any chemicals, remedies or foreign objects (e.g. document holders, etc.) are removed prior to return. Attachments and accessories All attachments and accessories (fork extensions, clamps, rotators, etc.) must be returned in working order and safe to operate in accordance with accident prevention regulations, without damage and/or leakage. Chargers must be in working order All batteries (cell and battery containers) including water filling sets and battery change stands must be in working order including Aquamatics, electrolyte and mixing units. Flameproof equipment must be in full working order Badges and labels Non-standard badges, labels or advertising fitted to the bodywork or glass of the truck should be removed, with any damage caused by their attachment or removal made good. Keys and security A full set of keys should be available along with a note of their numbers. If the locking system is remote, the appropriate key fobs should be available and functioning. If the truck was originally supplied with a security system, this should be intact and fully operational, including any key or key fob necessary for operation. End of contract process When the truck is returned to Toyota Material Handling Baltic, a full evaluation will be completed and any damage recorded. In case of excess wear&tear and/or damage, a written service offer, supported by the photograps of damage, will be forwarded and followed by an invoice Page 3 of 9
4 Item Acceptable Unacceptable Chassis, body and cabin Engine, transmission and batteries Axles Carriage Forks Sideshift Mast Seat Counterweight Tiller on hand trucks Brakes Wheels and castors Lights and headlights Fenders and covers available and functional Battery side panels in place, without significant deformation or damage All body panels complete, in original state and functioning Wiper blades and washer functional All cabin functions in working order (windscreen wipers front and rear, heating and ventilation, cabin lighting, skylight, mirrors, heated rear window, radio window opening) Steering wheel and steering knob fully functional Hydraulic controls fully functional Full function of engine transmission and drive batteries Gas cap functional and in place Starter battery in working order Oil level in accordance with operations manual Particulate filter, complete and functional Fuelled / Charged for transport Functional and without leaks Without external damage or abnormal noise Free from foreign bodies (especially foil) Hydraulic system in working order and without leakage Fork lock in place and functional Fork stop bolts are available Wear within the wear limit - Max 10% Functions correctly including connectors and without leakage Hydraulic hoses and connections fully functional Mast cylinder fully functional to all lift heights No damage or rust on hydraulic cylinders Seat (including seat contact switch) in working order in all positions No tears in the seat belt Mechanically sound, no cracks Protective grill for fan and coupling pin present and functioning Fully functional in all operations Fully functional Hand brake in working order and no missing parts Tyres/wheels sitting on the rim and above wear limits Wheel rims without dents or damage Complete in accordance with the delivery and the original fitted equipment Plastic housing, bracket and covers intact Shield or guard rails damaged, bent or deformed Plastic or glass parts with breaks, cracks or significant distortion Major sticker residue or self applied colour Deformity of hoods / overhead cabs and general body panels due to damage or impact Damage to cab pillars and parts missing from roof, doors or windcreens Rear window is incomplete or damaged Accessories not functioning correctly Hydraulic levers broken Non-functioning indicators Scratches or dents on the display panels Footplate not operational Anti-slip mats missing Damage to the interior linings or ancillary components Damage to engine parts by external forces or abuse Leaks on the engine or transmission, such as oil or cooling liquid, caused by the ingress of foreign objects (especially plastic foil) Metallic noise with conspicuous or significant smoking from engine Excessive wear due to lack of maintenance or excess hours Leaks or external damage due to lack of maintenance or the ingress of foreign bodies damaging seals etc. Bent fork carriages Deformed load backrest Oil leaking from ingress of foreign objects Non operating fork locks Below the wear limit (more than 10%) Bent forks Front frayed or sharp edged Sideshift frame bent or deformed Hydraulic connections excess worn, damaged or leaking Deformed mast profiles and/or mast struts from abuse or damage Wear in the mast profiles Mast cylinder bent or damaged Mast cylinder chrome notched, rusty or damaged Leaks in seals from damage or caused by ingress of foreign objects Split and tears from abuse Damage to the seat belt through negligence Seat belt not fitted or removed Breakages on cast iron Damage to coupling pin or missing fan guard Cracked, bent or damaged Non-function of any tiller operation Non-functioning brake systems (service brake, electric motors or regenerative braking) Non-functioning hand brake or deadman switch on the tiller head of hand operated trucks Missing parts or components of the brake system or broken brake levers Damage of the running and side surfaces Worn or cut tyres Below the tread wear limits Missing lights or spotlights Headlight housing broken Tears or breaks in the coverings Page 4 of 9
