1 Title: Safe Driving Policy : THG_POL_10 Page: Page 1 of 5 7/2/ Objectives of the policy HS&E Chairman: : Safe Driving Policy a. To ensure that all company vehicles are operated by authorized drivers only. b. To ensure that staff who drive vehicles in the course of their work demonstrate safe, efficient driving skills and other good road safety habits at all times. c. To maintain all company vehicles in a safe, clean and roadworthy condition to ensure the maximum safety of the drivers, occupants and other road users, and d. To reduce the impacts of company vehicles on the environment this also applies to personal vehicles used for work purposes. 2. Code of conduct a. The code of conduct for The Hillis Group, LLC states that: While driving company vehicles or privately owned vehicles for work purposes, staff must comply with: i. traffic legislation, ii. be conscious of road safety and iii. demonstrate safe driving and other good road safety habits. b. The following actions in company vehicles will be viewed as serious breaches of conduct and dismissal may be a consequence: i. drinking or being under the influence of drugs while driving ii. driving while suspended or not correctly licensed iii. reckless or dangerous driving causing death or injury iv. failing to stop after a crash v. acquiring points leading to suspension of licence vi. any other actions that warrant the suspension of a licence. 3. Responsibilities as an employee a. Every driver of a company vehicle will: i. ensure they hold a current driver licence for the class of vehicle they are driving and this licence is carried when driving a company vehicle ii. immediately notify their supervisor or manager if their driver licence has been suspended or cancelled, or has had limitations placed upon it iii. be responsible and accountable for their actions when operating a company vehicle or driving for the purposes of work iv. display the highest level of professional conduct when driving a company vehicle v. daily check the oil, tire pressures, radiator and battery levels of company vehicles they regularly use (pre-trip inspection) Safety Manager Signature: :

2 Policy : THG_POL_10 Page: Page 2 of 5 7/2/201 vi. comply with traffic legislation when driving vii. assess hazards while driving and anticipate what if scenarios viii. drive within the legal speed limits, including driving to the conditions ix. wear a safety belt at all times and ensure all passengers wear seat belts x. never drive under the influence of alcohol or drugs, including prescription and over the counter medication if they cause drowsiness to do so will merit disciplinary measures xi. avoid distraction when driving the driver will adjust car stereos/mirrors etc. before setting off, or pull over safely in order to do so xii. report any near-hits, crashes and scrapes to their manager, including those that do not result in injury, and follow the crash procedures outlined in this policy xiii. report traffic violations to a manager at the earliest opportunity xiv. report vehicle defects to a manager before the next vehicle use. b. In addition, it is required that all drivers: i. take regular and adequate rest breaks, at least every two hours ii. stop when tired iii. plan their journeys, taking into account pre-journey work duties, the length of the trip and post-journey commitments iv. stay overnight if driving time and non-driving duties exceed 10 hours in one day. c. If an employee is driving their own vehicle for the purposes of work, the same policies apply. In addition: i. the employee must seek the employer s agreement before using their vehicle for work ii. the car must be legally registered, warranted and insured for the purposes of work the employee must show evidence of this on request d. the employee must not carry loads for which the vehicle is unsuited, e. loads will be secured and within manufacturers specifications f. nor may they carry more passengers than for whom there are seat belts g. the vehicle must not be used in conditions for which it was not designed (such as offroad).. Responsibilities as an employer a. The employer will take all steps to ensure company vehicles are as safe as possible and will not require staff to drive under conditions that are unsafe and/or likely to create an unsafe environment, physical distress, fatigue, etc. b. The employer will do this by undertaking the following tasks: i. fitting all vehicles with a first aid kit, fire extinguisher, reflective vest, torch and

3 Policy : THG_POL_10 Page: Page 3 of 5 7/2/201 emergency triangle. ii. servicing the vehicles according to manufacturers recommendations iii. setting up procedures where employees check vehicles oil, water, tire pressures and general cleanliness on a pre-trip basis, then record the inspections iv. keeping maintenance schedules of all vehicles, which are completed each time the vehicles are serviced in any way v. following the maintenance schedules in the vehicles manuals vi. setting up a procedure to identify and rectify faults as soon as practicable. vii. Collecting and collating statistics on incidents, crashes and their causes, including: 1. the number of crashes 2. who was thought to be at fault 3. the probable causes of the crashes and other contributors, such as unrealistic work schedules. the financial cost of all crashes 5. the number of prosecutions 6. the number of near-miss events 7. other costs, such as downtime, and lost productivity. viii. Monitoring and managing work schedules to ensure they do not encourage unsafe driving practices by: 1. recommending staff to have 10 hours minimum continuous rest and 10 hours maximum driving time every 2 hours 2. requiring drivers to take 10-minute breaks every two hours of driving. ix. Taking into account individual drivers needs by: 1. requiring staff to keep driving logs that are regularly checked by a supervisor or manager. x. Identifying driver training needs and arranging appropriate training or retraining, including providing: 1. a thorough induction to the company s road safety policies and procedures 2. driver training opportunities to all staff 3. driver assessment and required training as part of all new hire orientation. advanced driver training or specific practical training as required and identified 5. regular staff seminars or refresher meetings on safety features, fatigue, driver responsibility, drink-driving and fuel-efficient driving 6. driver training log updates on personnel files. c. Encouraging safe driving behaviour by:

4 Policy : THG_POL_10 Page: Page of 5 7/2/201 i. not paying staff speeding or other infraction fines ii. forbidding the use of mobile phones in vehicles while driving (See THG_POL_103 Cell Phone Use and texting) iii. encouraging regular breaks while driving iv. ensuring the employer is informed if existing staff become un-licenced. 5. What employees are to do if there is a crash in a company vehicle a. Immediately stop your vehicle at the scene or as close to it as possible, making sure you are not obstructing traffic. Ensure your own safety first. Help any injured people and call for assistance if needed. b. Try to get the following information: i. details of the other vehicle(s) and registration number(s) ii. name(s) and address(es) of the other vehicle owner(s) and driver(s) iii. name(s) and address(es) of any witness(es) iv. name(s) of insurer(s). c. Give the following information: i. your name and address and company details. d. Contact the police: i. for all accidents e. Follow-up i. Report the crash to your manager as soon as you can. 6. How the success of the policy will be measured a. The success of this policy will be measured by the increase or decrease in: i. the number of crashes involving company vehicles ii. the number of at-fault crashes involving company vehicles iii. the number of traffic infringements received iv. the costs of repairs and maintenance v. other financial costs associated with vehicle use vi. the average cost of vehicle-related workers compensation claims.
